What to Do if Your Provider Works Different Hours Every Week
If some doctors or hygienists have varying work hours and days each week, follow these steps to ensure accurate Schedule Utilization and Provider Hours Worked calculations:
1. Set Unique Days and Hours for Specific Providers:
For providers who are not present during the total weekly hours the office is open, select the box by their name and enter their unique days and hours.
2. For Providers with Variable Schedules:
If a provider does not work the same exact days and hours every week, set their schedule to "Same as Office Hours."
Practice IQ will assume they have no hours available on days without assigned appointments. This setup covers any day they are on the schedule and calculates their availability based on the hours you set for patient appointments.
3. Manual Adjustments for Alternating Hours:
If a provider alternates work hours or is not present the entire time the office is open, manually adjust their available patient hours to prevent inflated availability and lower schedule utilization percentage.
Make these adjustments on the Provider Hours Worked page.
4. Adjust for Extended Office Hours and Multiple Shifts:
If the office has extended hours with multiple shifts (e.g., a large group office open from 7:00 AM to 7:00 PM), ensure to adjust manually for providers working different shifts.
Without these adjustments, Practice IQ will incorrectly record that the provider had 12 hours available to see patients that day.
