How to Track Insurance Verification Activity and Usage

Monitoring verification usage helps practices manage costs, track efficiency, and ensure patients’ coverage is verified before their appointments. In PbN, you can review insurance verification data in two places:

  • The Insurance Home page – shows daily operational metrics, such as patients scheduled, insured, and verified.

  • The Billing Usage Dashboard – provides account-level usage against your plan and any potential charges.

Together, these views give practices a clear picture of how insurance verification is being used and its impact.


Step 1: Access the Insurance Home Page

  1. From the navigation bar, select Insurance.

  2. The Insurance Home page will display verification metrics at the top, along with tabs for Patient Verification, Guest Verification, and the Verification Log.


Step 2: Metrics at the Top of the Insurance Page

At the top of the Insurance Home page, you’ll see four key metrics:

  • Patients Scheduled – number of patients with appointments in the selected date range.

  • Insured Patients – how many of those patients have an insurance plan on file.

  • Verified (within 1 month) – how many patients have already been verified within the last month.

  • Staff Costs Saved – estimated time and cost savings generated by verification automation.

These metrics provide a quick overview of your verification activity and impact.


Step 3: Reviewing the Verification Log

The Verification Log tracks all verifications completed for patients and provides a quick benefit summary.

  • Patient details – name, subscriber ID, and payer.

  • Verification status – including date verified and provider (Vyne or Steadi).

  • Benefits overview – summary of coverage, deductibles, and key eligibility details.

This log provides a reliable audit trail while also helping staff confirm coverage without re-running verifications.


Step 4: Reviewing Usage in the Billing Dashboard

To monitor verification usage against your subscription limits and plan costs:

  1. Click the person icon in the top-right corner.

  2. Go to New Settings > Billing > Usage.

The Usage Dashboard will display:

  • Verification Used – the number of verifications run during the billing cycle.

  • Included vs. Overages – how many verifications are included in your plan, and whether you’ve exceeded that amount.

  • Projected Costs – estimated end-of-month charges if overages apply.

  • Other Services – side-by-side visibility into usage for add-on features to your plan.


Why Reviewing Usage Matters

  • Operational insight – know how many patients are verified ahead of appointments.

  • Cost control – stay aware of your verification totals and avoid unexpected charges.

  • Staff oversight – monitor which team members are running verifications.

  • Efficiency tracking – see the value of automation in terms of staff time saved.
