Once your payers are mapped, your team can begin verifying patient insurance directly in Practice by Numbers. Verifications can be run manually for scheduled patients, or as a Guest Verification for new patients who are not yet in your PMS. Results are now processed quickly in the background, allowing staff to continue working while verifications are completed.
Step 1: Access the Insurance Home Page
From the navigation menu, select Insurance.
The Patient Verification tab displays a list of scheduled patients, along with their corresponding insurance information.
Step 2: Run a Manual Verification
Select a patient from the list and click Verify.
Verifications run in the background — you can navigate away and return later to review results.
Bulk verification is available by selecting multiple patients at once.
Verification results include:
Subscriber ID, plan, and payer details
Eligibility status
Coverage details (deductibles, benefits, co-pays, etc.)

Step 3: Run a Guest Verification
The Guest Verification tab allows staff to verify new or prospective patients before they are added to the PMS:
Click Guest Verification.
Enter subscriber and insurance details.
Run verification.
Notes about guest verifications:
Results display the same benefit details as standard verifications.
These verifications do not write back to the PMS.
Useful for preliminary checks during new patient intake.
Step 5: Verification Log
After a verification is complete, details appear in the Verification Log. This provides:
A brief benefit summary for quick reference.
A historical record of verifications run for the patient.
Easy access for staff to confirm coverage without re-running the process.
