Managing Patient Bank Accounts for Pay by Bank

Practice by Numbers allows your practice to securely save and manage patient bank accounts for Pay by Bank (ACH) payments.

Once you link a bank account to a patient, you can select it when collecting future Pay by Bank payments.

Manage Bank Accounts from Charge Patient

To view a patient's saved bank accounts:

  1. Open Charge Patient for the patient.

  2. Select Manage Bank Accounts from the left navigation.

If the patient does not have a saved bank account, select Link Bank Account to add one.

You will need to enter the patient's:

  • Account type

  • Account holder name

  • Routing number

  • Account number

  • Account number confirmation

The ACH authorization disclosure must be acknowledged before you can use the bank account for a payment.

Managing Existing Accounts

When a patient has one or more linked bank accounts, they are displayed under Manage Bank Accounts.

From here, you can:

  • View linked bank accounts

  • Set a bank account as the patient's default

  • Remove a linked bank account

  • Link an additional bank account

Use the star icon to select the default account and the trash icon to remove an account.

Manage Bank Accounts from Payment Methods

You can also manage bank accounts from the patient's Payment Methods.

Navigate to: Payments → Select Patient → Payment Methods → Bank Accounts

The Bank Accounts tab appears alongside the Cards tab.

For each linked account, you can view information such as:

  • Bank name

  • Account type

  • Last four digits

  • Date linked

  • Default status

You can also link another bank account or use an existing saved account to charge the patient.

How Patients Manage Saved Bank Accounts

Patients can also select saved bank accounts when paying through the patient payment portal. If a patient has one saved account, the system automatically selects it when they choose Pay by Bank.

If they have multiple accounts, they can select the account they want to use.

Patients can also choose Use a new bank account if they want to pay from another account.

Bank Account Security

Bank account information is encrypted and securely stored. After linking an account, Practice by Numbers does not display the full bank account number. Only identifying information such as the bank name, account type, and last four digits is displayed.

ACH Authorization

ACH payments require authorization from the bank account holder. The required authorization disclosure is displayed when bank information is entered and must be acknowledged before an ACH payment can be processed.
