A Pay by Bank payment shows as Succeeded right away, and the funds land in your account 3–5 business days later. That waiting period is normal for bank payments and also affects when you can issue a refund.
What to expect after a payment
When | What happens | What you see in PbN |
Right away | Patient completes payment | Status: Succeeded. Deposit Date: blank |
3–5 business days | Payment settles through the ACH network | No change |
3–5 business days after the payment date | Funds are deposited to your practice account | Deposit Date fills in. Refund button turns on |
How Pay by Bank looks in your Payments table
Payment Method: Pay by Bank
Status: Succeeded, as soon as the payment is submitted
Deposit Date: blank at first, then filled in automatically once funds are deposited
Surcharge: always No
A blank Deposit Date on a Pay by Bank payment does not mean the payment failed. It simply means the funds are still on their way.
Refund a Pay by Bank payment
You can refund a Pay by Bank payment once its Deposit Date has filled in. Until then, the Refund button stays unavailable, even though the status says Succeeded.
Once the Deposit Date has populated, the Refund button becomes available, and you can refund the payment the same way you refund a card payment, in full or in part.
What patients should expect: refunds take 7–10 business days to reach the patient's bank account. The patient gets a confirmation email once the refund is processed.
Refund rules at a glance
Partial refunds work the same way as card refunds.
Refunds are available only after the Deposit Date is filled in.
You can't refund a payment marked Returned because no funds were collected.
