The Card-on-File status icon in the Payments table gives staff an at-a-glance view of a patient's saved payment method. Quickly identify card-on-file status, review saved cards, and manage payment methods—all without leaving the Payments page.
Why This Feature Matters
The Card-on-File icon provides a quick visual indicator of a patient's saved payment method status, helping your team:
Identify patients who are ready to be charged.
Quickly spot cards that require attention.
See whether a default payment method has been selected.
Manage saved cards without navigating away from the Payments table.
This reduces unnecessary clicks and makes collecting payments more efficient.
Understanding the Card-on-File Icons
The icon displayed next to the patient's name reflects the status of their saved payment methods.
Icon Status | What It Means |
✅ Card icon with a green check | The patient has a valid default card on file and is ready to be charged. |
⚠️ Card icon with a yellow alert | The patient has a saved card, but it requires attention (such as a tokenization issue). |
💳 Card icon only | The patient has one or more saved cards, but no default card has been selected. |
No icon | The patient does not have a card on file. |
Note: The card icon is a hover-only indicator and is not clickable. Continue clicking the patient's name to access their profile.
View Saved Card Details
Hover your mouse over the Card-on-File icon to view a summary of every saved card for that patient.
The popover displays:
Card network (Visa, Mastercard, etc.)
Card type (Credit or Debit)
Masked card number (for example: •••• •••• •••• 4242)
Expiration date
Default label (shown only on the patient's default payment method)
For security, full card numbers are never displayed.
The popover automatically closes when your cursor moves away.
Manage Saved Cards
Need to make changes? Simply hover over the card icon and click Manage Card.
This opens the patient's Saved Cards window directly from the Payments table—no page navigation required.
From here, you can:
View all saved cards
Add a new card
Set or change the default card
Remove a saved card
When you're finished, simply close the window to return to the Payments table exactly where you left off.
What's New: Previously, selecting Manage Card opened the patient's Payment Methods page. It now opens an inline Saved Cards window for a faster, more streamlined workflow.
Where to Find It
Navigate to Payments.
Open the Payments Table.
Look for the Card-on-File icon immediately to the right of the patient's name in the Patient Name column.
The icon appears automatically whenever card information exists for that patient.
Common Scenarios
Ready to Charge
If you see a green check, the patient has a valid default card on file and is ready for payment processing.
Card Requires Attention
If you see a yellow alert, the saved card has an issue that needs to be resolved before processing a payment.
Hover over the icon, select Manage Card, and update or replace the affected card.
No Default Card Selected
If you see the standard card icon without an indicator, the patient has saved cards but no default payment method.
Open Manage Card and designate a default card before charging the patient.
No Saved Card
If no icon appears, the patient does not have a saved payment method.
You can either:
Collect payment information during checkout, or
Send a Request Payment link so the patient can securely add a card on file.
