We’re excited to introduce the latest updates from Practice by Numbers! This release focuses on strengthening security, improving payment plan management, and giving your team more flexibility and control across key workflows.


Enable advanced access controls designed for growing practices and DSOs. Administrators can now:

  • Enforce IP restrictions

  • Set time-based access policies

  • Mandate two-factor authentication (2FA)

  • Manage everything from a centralized framework

Built to support stricter IT and compliance requirements, Enterprise Security provides greater control and visibility to help protect sensitive data while ensuring secure, consistent access across all locations.

⚠️ This is an early-stage Alpha feature and is available as a paid add-on.


Quickly find plans without the scroll

Finding payment plans is now faster and easier with the new search functionality.

  • Search by plan name, patient name, or both

  • Supports partial and case-insensitive matches

  • Results update instantly as you type

  • Automatically scoped to your selected tab

This enhancement helps your team quickly locate the right plan without navigating long lists.


A clearer view of your payment plan performance

The redesigned dashboard provides a real-time, centralized view of payment plan activity.

  • Track collection rates, outstanding balances, and plans created

  • Identify delinquent or retrying plans

  • Monitor expected revenue

  • View a 12-month outlook for better planning

This dashboard helps your team stay proactive, take timely action, and improve collections performance.


Choose how and when patients are notified

You now have more control over patient communication during retry attempts.

  • Enable or disable email and SMS notifications for failed retries

  • Configure settings at the practice level

  • Retries continue automatically, regardless of notification settings

This allows your team to manage communication preferences without disrupting payment processing.


More control over how extra payments are applied

Manage overpayments with greater flexibility using the new adjustment options.

  • Apply extra payments using “Reduce Last Payment By.”

  • Continue to adjust the next payment or all remaining payments

  • Maintain clear and predictable payment schedules

This enhancement makes it easier to tailor payment plans to each patient’s needs.


Temporarily adjust how calls are handled—without changing your main setup

Overrides allow your practice to temporarily modify call routing for situations like staff meetings, holidays, or unexpected closures.

Where to Find Overrides

You can manage overrides in both:

  • Web App: Calls → Settings → Call Routes & Overrides

  • Desktop App: Call Center → Settings → Call Routes & Overrides

What You Can Do

  • View all call routing extensions and schedules

  • See active, upcoming, or no override statuses

  • Edit or delete overrides at any time

Override Options

1. Forward Calls (Default)

  • Route calls to a user extension, call group, or external number

2. Send Calls to Voicemail

  • Direct all calls to voicemail

  • Option to upload a custom greeting

Flexible Scheduling

  • Quick durations (1–3 hours or more)

  • Custom start and end times

  • All-day options for today or future dates

What Happens After

  • Overrides activate automatically based on your schedule

  • Your original call routing resumes once the override ends

This feature ensures your team can quickly adapt call handling without permanently changing your call flows.
