PbN Advantage Rewards Program FAQ

1. What is PbN Advantage?

PbN Advantage is Practice by Numbers’ loyalty and rewards program designed to help practices offset everyday operating costs while creating opportunities that boost team morale and engagement.

Practices earn points by participating in activities such as:

  • Social media engagement

  • Writing reviews

  • Podcast summaries

  • Events and conferences

  • Product feedback and advocacy opportunities

Points can then be redeemed for things practices would otherwise pay for out of pocket, including:

  • Team experiences

  • Office perks

  • Merchandise

  • Event access

  • Partner promotions

The goal is to help practices reduce cash spend on morale, recognition, and professional development—without giving those things up.


2. How do I join PbN Advantage?

All eligible PbN customers are automatically enrolled at no additional cost.

Your practice’s primary admin will receive instructions on how to access the PbN Advantage portal inside the PbN app. No additional registration or login is required.

Once your practice is active in PbN, you can simply access the PbN Advantage dashboard and begin participating.


3. Where do I access the PbN Advantage dashboard?

You can access PbN Advantage directly through the PbN app using your existing login.

Steps to access the dashboard:

  1. Log into the PbN app

  2. Click your profile icon in the top-right corner

  3. Select PbN Advantage

This will open your rewards dashboard where you can:

  • Track your points

  • View available challenges

  • Submit activities

  • Redeem rewards


4. How do I earn PbN Advantage points?

Practices can earn points in four primary ways.

1. Ongoing engagement and community activities

Points may be earned for activities such as:

  • Posting in the PbN Practice Pulse private Facebook group

  • Commenting in industry groups

  • Writing reviews about PbN

  • Visiting the PbN booth at events and sharing photos on social media

  • Completing monthly or seasonal challenges

Each activity has participation limits, such as monthly caps or frequency limits. Full details and point values are listed inside the PbN Advantage portal.


2. Invitation-only advocacy activities

Practices may receive invitations to participate in advocacy opportunities, such as:

  • Reference calls

  • Case studies

  • Beta tests or focus groups

  • Video testimonials

  • Webinar participation

Points earned for signing up

Practices receive 50 points for signing up for certain advocacy activities. Limit: 1 sign-up reward per quarter

3. Referrals

Referring a practice to PbN is a great way to share the platform with peers.

How to submit a referral

  1. Select Refer a Friend inside the PbN Advantage portal

  2. Submit the name and contact information of the practice you are referring

Referral rewards

  • 50 points for each verified referral submission

  • +1,000 bonus points if the referred practice becomes a PbN customer

Limit: 3 referrals per month


4. Seasonal challenges and campaigns

Limited-time challenges are launched throughout the year to encourage participation.

Examples include:

  • Monthly engagement challenges

  • Seasonal activities

  • Event-based activities

  • Social media prompts

New opportunities are added regularly inside the PbN Advantage dashboard.


5. What are PbN Advantage badges, and how do we earn them?

Badges are achievement markers earned by completing specific activities within the program.

Badges may recognize:

  • Social engagement

  • Referrals

  • Advocacy activities

  • Reviews and community participation

  • Program milestones

Badges appear on your PbN Advantage dashboard and create a visible record of your participation.

Some badges may have eligibility requirements or expiration rules.

6. Can activities be backdated?

No.

Activities are only eligible for points if they are completed after your practice enrolls in PbN Advantage.


7. Do PbN Advantage points expire?

Points remain active as long as your practice maintains an active PbN subscription.

However, a maximum number of points may roll over into a new calendar year. Practices will be encouraged to use points before the rollover deadline.


8. How do I redeem points?

To redeem rewards:

  1. Open the PbN Advantage dashboard

  2. Navigate to the Rewards section

  3. Select the reward you would like to redeem

Points are deducted immediately after redemption.

You will receive confirmation once the reward is processed. For some rewards, a PbN team member may contact you to coordinate delivery or scheduling.


9. What rewards are available?

Rewards may include:

  • Office supplies

  • Team experiences (such as lunch or outings)

  • Coffee and snack packages

  • Partner discounts and promotions

  • Merchandise

  • Seasonal and campaign rewards

Rewards may change throughout the year.


10. How are rewards delivered?

Reward delivery depends on the reward type.

11. Can multiple staff members earn points for our practice?

Yes.

Any team member with a PbN login can participate in the program and submit activities.

Points accumulate at the practice level, and authorized team members can redeem rewards on the practice's behalf.

Governance for point redemption should be managed internally within your practice.

Practice by Numbers is not responsible for points redeemed without proper internal authorization.


12. I completed an activity but didn’t receive points. What should I do?

Most activities award points automatically.

Some activities require manual verification, including:

  • Referrals

  • Case studies

  • Event participation

  • Advocacy opportunities

Please allow up to 72 hours for points to appear.

Include details about the activity so the team can review and update the points if needed. All decisions regarding point awards are at the discretion of Practice by Numbers.


13. Are PbN Advantage points transferable?

No.

Points cannot be:

  • Transferred between accounts

  • Combined with other practices

  • Exchanged for cash


14. What happens to my points if we cancel our PbN subscription?

Eligibility for PbN Advantage requires an active PbN subscription. If a practice cancels its subscription, any unused points are forfeited.


15. Can practices on legacy PbN plans participate?

Yes.

PbN Advantage is available to all current PbN customers, including practices on legacy plans. Some rewards or opportunities may vary depending on subscription level or participation.


16. How often are new challenges or rewards added?

New opportunities are added regularly throughout the year, including:

  • Monthly challenges

  • Seasonal campaigns

  • Event-based activities

  • Social media engagement prompts

A limited number of invitation-only activities may also be offered periodically, such as case studies or beta testing opportunities.

Logging into the portal regularly ensures you don’t miss these limited-time opportunities.


17. Are there HIPAA rules for social media activities?

Yes.

All social media posts must comply with HIPAA compliance guidelines.

Practice by Numbers does not collect, use, or share protected health information (PHI) in social media or marketing content without written patient authorization.

All PbN marketing, social media, and loyalty program communications are designed to comply with HIPAA Privacy Rule standards.

For specific questions regarding PHI handling or compliance requirements, practices should consult their legal counsel or local governing authorities.
