Team Messaging & Operatory Alerts in Patient Flow

Team Messaging and Operatory Alerts allow your team to communicate directly inside Patient Flow, eliminating hallway conversations, reducing delays, and improving coordination throughout the day.

Instead of verbally asking for help or walking to another room, staff can send instant alerts and messages tied directly to the correct operatory.


Operatory Alerts

Operatory Alerts are quick, visual signals that notify your team when immediate attention is needed.

They are designed for urgent or time-sensitive communication.

How to Add an Alert

Step 1: Locate the patient’s operatory tile in Patient Flow.
Step 2: Click the Alert icon on the operatory tile.
Step 3: Select the appropriate alert type.

Once selected, the alert appears immediately and notifies the team.


​Where Alerts Appear

Alerts are visible in multiple places to ensure they are not missed:

  1. On the Operatory Tile: The alert icon displays directly on the operatory tile and will display how long the alert has been active.

  2. Inside Team Messaging Threads: Each operatory has a dedicated messaging thread. The alert is automatically recorded there.

  3. Desktop App Pop-Up Notification: If you are using the Desktop App, a pop-up notification appears based on your notification settings.

⚠️ Pop-up notifications are only available when using the Desktop App.


Team Messaging

Each operatory has its own message thread for communication tied to that room.

View Messages

  1. Open Team Messaging

  2. Select the operatory thread

All alerts and responses remain visible for reference.

Respond to Alerts

Inside the thread, team members can:

  • Reply with updates

  • Confirm completion

  • Ask for clarification

This keeps communication attached to the original request.


Notification Settings

To adjust alert behavior: Go to Patient Flow Settings > Notifications

Available options:

  • Notification position (top right, top left, bottom left)

  • Duration (5 seconds to persistent)

  • Audio alerts on/off


Multi-Location Messaging

If your accounts are connected:

  • Users can message across locations

  • Alerts remain associated with the correct operatory


Troubleshooting

Not Receiving Audible Alerts?

  • Confirm you are using the Desktop App

  • Verify audio notifications are enabled

  • Check device volume


Best Practice Guidelines

  • Use alerts for time-sensitive needs.

  • Use messaging for follow-up details.

  • Avoid excessive alert use.

  • Assign a team member to monitor messaging during busy hours.
