Two-Factor Authentication (2FA) in PbN

Two-Factor Authentication (2FA) adds an extra layer of security to your PbN account. In addition to your password, you’ll be required to enter a verification code when logging in—helping protect your account even if your password is ever compromised.


Why Two-Factor Authentication Is Important

With 2FA enabled:

  • Your account is protected by both your password and a secondary verification method.

  • Unauthorized users cannot access your account without completing the verification step.

  • Sensitive practice, patient, and financial data are better protected.

Practice by Numbers strongly recommends enabling 2FA for all users, especially admins and team members with access to patient or payment information.


Where to Enable Two-Factor Authentication

  1. Log in to Practice by Numbers.

  2. Click your profile icon in the top-right corner.

  3. Select User Profile.

  4. Scroll to the Two-Factor Authentication section.

  5. Click Enable 2FA.

You’ll then be guided through selecting and setting up your preferred verification method.


Available Two-Factor Authentication Methods

Practice by Numbers offers three verification methods. While all add security, they differ in strength and convenience.

Recommended Method: Authenticator App (Most Secure)

Why This Is the Most Secure Option

  • Generates codes directly on your device

  • Does not rely on cellular service or email access

  • Significantly reduces the risk of unauthorized access

Supported Authenticator Apps

  • Google Authenticator

  • Microsoft Authenticator

  • Authy

How to Set Up an Authenticator App

  1. Select Authenticator App as your 2FA method.

  2. Open your authenticator app on your mobile device.

  3. Scan the QR code shown on screen
    (or manually enter the setup key if scanning is not available).

  4. Enter the 6-digit code generated by the app.

  5. Click Verify and Enable.

After setup, you’ll be provided with backup recovery codes. Save these in a secure location in case you ever lose access to your authenticator app.


Alternative Methods: SMS or Email

SMS (Text Message)

  • Verification codes are sent to your registered phone number.

  • No app required.

  • Requires cellular service and is less secure than an authenticator app.

Email

  • Verification codes are sent to your email address.

  • Works on any device with internet access.

  • Relies on the security of your email account.

Note: While SMS and Email are convenient, an authenticator app is strongly recommended whenever possible.


What Happens When You Log In After Enabling 2FA

  1. Enter your email and password as usual.

  2. You’ll be prompted to enter a verification code from your selected method.

  3. You can optionally choose to trust the device you’re logging in from.

Trusted devices allow you to skip verification on that device for a limited period, up to a maximum of 1 month.

If you ever lose access to your verification method, you can use one of your backup recovery codes to sign in.


Managing Two-Factor Authentication and Trusted Devices

  • View whether 2FA is enabled

  • Change 2FA method

  • See which verification method is active

  • Manage trusted devices

  • Disable and re-enable 2FA if needed
