At Practice by Numbers (PbN), protecting patient and practice data is a top priority. Security starts with strong passwords but doesn’t stop there — PbN also monitors for unusual login activity to help keep your account safe.

Why Password Security Matters

Weak or reused passwords are one of the most common ways hackers gain access to accounts. To keep your data safe, PbN enforces strict password rules.

These rules help:

🛡️ Prevent unauthorized access
📑 Support HIPAA compliance and industry security standards
✅ Stop attackers from using stolen passwords from other websites


What Makes a Password Secure

When creating or resetting your PbN password, it must include:

✅ At least 9 characters
✅ At least 1 uppercase letter
✅ At least 1 lowercase letter
✅ At least 1 number
✅ At least 1 special character (e.g., !@#$%^&*()-_=+[]{};:'",.<>?/|)

🚫 Avoid:

  • Sequential characters (abc, 123)

  • Repeated characters (aaa, 111)

  • Keyboard patterns (qwerty, asdf)

  • Using your name or email address

  • Reusing old passwords

📌 A password strength meter will confirm your new password meets these rules.


Tips for Keeping Your Password Safe

  • Use a password manager to create and store unique passwords.

  • Never share your password — every team member should have their own account.

  • Update your password if you suspect it’s been compromised.

Login Verification: Extra Security for Your PbN Account

PbN uses more than strong passwords to keep your account secure. Our system also detects unusual login activity, such as when you sign in from a new location, device, or browser.

When this happens, PbN will require you to verify the login before granting access. This extra step ensures only you (or authorized team members) can access your account.


How Login Verification Works

  • Login Attempt Detected
    If PbN detects a sign-in from an unrecognized device or location, you’ll see a security verification screen during login.

  • Verification Email Sent
    At the same time, PbN sends a verification email to your registered address. This email includes the login details (time, location, device, browser, operating system) and a button to confirm whether it was you.

  • Verify or Deny the Attempt

    • If it was you, click “Yes, This Was Me” in the email to complete the login.

    • If it wasn’t you, do not click the button. Instead, reset your password immediately and contact PbN Support.


Why This Matters

This process adds an extra layer of protection by:

  • Stopping unauthorized users even if they know your password

  • Alerting you right away if someone tries to access your account from a suspicious location

  • Supporting HIPAA compliance by strengthening account security
