We’ve made major updates to the Task Management System to make it easier for your team to manage patient follow-ups and keep tasks organized. These enhancements include bulk operations, custom task types, and a clearer way to track outcomes.
Getting Started: Where to Access Huddle & Tasks
To open the Huddle page, go to the bottom floating bar and select Huddle. This is where you’ll see your daily patient lists and can now create multiple tasks at once.
To manage or delete tasks in bulk, go to the bottom floating bar and select Tasks. This will open the full task management page.
Create Multiple Tasks from the Huddle
Tasks can now be created directly from the Huddle page — the central place where your practice prepares for upcoming patient visits.
On the Huddle, you’ll now see checkboxes next to each patient.
Select individual patients, or use Select All to quickly include everyone in a filtered list.
After making your selections, click Create Tasks.
In the task creation window, you’ll be able to:
Review the patients selected (the first five will be listed, followed by “+X more”).
Choose a Task Type.
Enter a description (up to 500 characters).
Assign the task to a team member (defaults to the Front Office).
Set a due date using the calendar or quick-select options like Today, Tomorrow, or Next Week.
✅ Once saved, a confirmation will show the number of tasks created successfully, and your selections will clear.
Manage Task Types in Settings
Task types are now easier to organize and customize in your system.
Go to New Settings > Tasks > Patient Task Types.
You’ll see built-in task types organized into categories such as:
General (📋 Task, Phone Call)
Patient Care (Recall, Reactivation, Post-Op Follow-Up)
Appointments (Cancelled Appointment, Pre-Appointment, Broken Appointment)
Follow-Ups (Treatment Follow-Up, Account Receivable, Claim Follow-Up)
Communications (Appointment Reminder, Review Request, Birthday Wishes, Holiday Greeting)
Create your own custom task types:
Add a name (up to 100 characters).
Define custom outcomes (e.g., Scheduled, Left Message, No Answer).
These new task types will appear in both the Patient window (when you click + Task) and in the Huddle when creating new tasks.
Bulk Delete from the Task Page
Managing existing tasks is now simpler from the Tasks page.
Open the Tasks page.
Select multiple tasks using the checkboxes.
Click Delete to remove them in bulk.
A confirmation will display the number of tasks that were successfully deleted.
⚠️ Important: Bulk deleting tasks also removes their notes, comments, and progress records. This cannot be undone.
Completing Tasks with Outcomes
When closing out tasks, your staff can now select from outcome options that clearly indicate how the task was resolved.
Select an outcome from the dropdown (built-in or custom).
Add notes to the description box if needed.
Click Log & Close Task to complete.
