Managing Patient Tasks in PbN

The Tasks page in Practice by Numbers allows practices to efficiently manage Patient Tasks. This guide breaks down each section of the Tasks interface, including key features, filters, reporting, and task management.

Accessing Patient Tasks

Patient tasks can be accessed directly from the floating bar at the bottom of the Practice by Numbers interface:

  1. Click on the Tasks icon in the floating bar.

  2. Select Patient Tasks from the menu.

  3. The Tasks page will open, displaying all patient-related tasks, including overdue tasks, tasks due today, and tasks due tomorrow.

This quick access allows users to manage tasks efficiently without navigating away from other pages.


Patient Tasks

This section contains all patient-related tasks, including overdue tasks, tasks due today, and tasks due tomorrow. It also provides a task breakdown by type, allowing practices to filter tasks based on their purpose.

Key Components

Task Overview & Filters

  • Displays total tasks, overdue tasks, tasks due today, and tasks due tomorrow.

  • A total opportunity value section highlights the revenue potential of completing tasks.

  • Filters allow sorting tasks by:

    • Task Type (e.g., Patient Reactivation, Recall Overdue)

    • Assignee

    • Time-based Filters (Due Today, Due Tomorrow, Overdue Tasks)

    • Status Filters (Closed Tasks, New Tasks, Created by Me)

Task List

  • Displays patient-specific tasks in a table format.

  • Includes the following columns:

    • Patient Name

    • Task Type

    • Due Date

    • Created Date

    • Assignee

    • Status (Overdue, Completed, etc.)

    • Quick action icons to open the patient’s overview or delete the task.

Email Summary

  • Practices can send an email summary of tasks, detailing overdue tasks, upcoming tasks, and revenue potential.


Patient Task Report

The Patient Task Report provides analytics on task performance, tracking:

  • Dollars Scheduled – Revenue generated from completed tasks.

  • Appointments Scheduled – Number of appointments booked via tasks.

  • Total Tasks & Task Attempts – Overview of assigned and attempted tasks.

Breakdown by Employee

Task Type Analytics by Employee

  • Tracks individual employee performance.

  • Displays scheduled percentage, revenue generated, total attempts, and outcomes (No Answer, Left Message, No Outcome).

Employee Performance

  • Measures task completion rate, time spent on tasks, and status distribution.

Task Type Performance

  • Provides statistics on:

    • Total tasks per type.

    • Attempts per task.

    • Success rates and revenue impact.
