The Tasks page in Practice by Numbers allows practices to manage Office Tasks for administrative and operational workflows efficiently. This guide outlines how to access, create, and track office tasks and analyze performance using dashboards and reports.

Accessing Office Tasks

Office tasks can be accessed directly from the floating bar at the bottom of the Practice by Numbers interface:

  1. Click on the Tasks icon in the floating bar.

  2. Select Office Tasks from the menu.

  3. The Tasks page will open, displaying all office-related tasks, including overdue tasks, tasks due today, and tasks due tomorrow.

This quick access allows users to manage office workflows efficiently without navigating away from other pages.


Office Tasks Tabs

Office tasks are divided into three key sections:

  1. Tasks – Displays all ongoing office tasks with the ability to create, assign, and categorize them.

  2. Task Dashboard – Provides visual insights into task performance, including completion rates and overdue tasks.

  3. Task Calendar – Organizes tasks in a monthly or daily view for better scheduling and tracking.


Managing Office Tasks

Creating an Office Task

To create a new task:

  1. Click "+ Create Task".

  2. Enter a Title and Description.

  3. Select a Task Type and Category.

  4. Assign a Priority (Low, Medium, High).

  5. Choose an Assignee (optional).

  6. Set a Due Date.

  7. Add Checklist Items or Task Phases for structured execution.

  8. Save the task, making it visible in the Tasks List.

Task Components

Each office task includes:

  • Title & Description – Defines the task purpose.

  • Priority Level – Indicates urgency.

  • Due Date & Date Created – Tracks task timelines.

  • Checklist Items & Phases – Organizes task execution.

  • Comments Section – Enables team collaboration.

  • Status – Not Started, In Progress, Completed, Overdue.

Users can edit, delete, or reassign tasks as needed.


Task Dashboard: Performance Tracking

The Task Dashboard provides key insights into office task efficiency with:

  • Total tasks – Number of office tasks created.

  • Completion rate – Percentage of completed tasks.

  • On-time rate – Tasks completed within the due date.

  • Average completion time – Time taken to complete tasks.

  • Recurring tasks – Tracks repeating tasks.

  • High-priority tasks – Tasks marked as urgent.

  • Overdue tasks – Unfinished tasks past their due date.

Dashboard Charts

  • Task Compliance by Category – Measures task completion rates.

  • Recurring Task Compliance – Tracks the success of repeating tasks.

  • Team Performance Trends – Evaluates task completion by employees.

  • Task Priority Distribution – Shows high, medium, and low-priority tasks.

  • Team Member Performance – Measures individual task productivity.


Task Calendar: Scheduling & Organization

The Task Calendar allows users to view scheduled office tasks in a monthly or daily format.

Task Status Indicators:

  • ✓ Fully Complete – Task is finished.

  • ! Partially Complete – Some checklist items remain.

  • × Overdue – Task was not completed on time.

  • ○ Pending – Task is created but not yet sarted.

Users can click on tasks in the calendar to edit details, update progress, or mark them as completed.
