Patient Communication Center

Text your patients from any PBN page. 


The Patient Communication Center in Practice by Numbers (PBN) allows you to text and communicate with your patients from any PBN page. Note that the Engage or Grow package is required for this feature.


Accessing the Communication Center

Location
  • The Communication Center (Comm Center) is located at the bottom left of every page in PBN.
  • A number on the button indicates how many unread incoming messages you have.



Using the Communication Center


1. Message List

  • Displays the recipient, time sent, the first line of each message, if the message has been assigned to an employee, and if the message has been assigned to an inbox.
  • Open a patient's information using the clipboard icon above the message history.



2. Managing Messages

  1. Selecting Messages

    • Click the three lines icon to select one or all messages.
  2. Filtering Messages

    • Click the filter icon for multiple filter options.
  3. Message Status

    • Messages stay open until you manually close them.
    • Closing a message hides it but doesn't delete it.
  4. Viewing Options

    • Use the drop-down at the top left to see all messages, including closed ones.
    • Next to this drop-down, you can change the status of multiple messages at once.
    • Another drop-down lets you separate messages by Patients and Leads.
    • "All Messages" lets you filter between messages assigned to you and unassigned ones.
    • "All Inboxes" lets you view, create, or manage inboxes.








Managing Individual Messages

  • Click the three dots next to a message to:
    • Assign it
    • Move it to a different inbox
    • Unassign it
    • Block the contact




3. Sending Messages

  • To text a selected patient, type your message and hit send in the bottom right.
  • To compose a new message, click the icon on the upper right of the panel.
    • Enter the recipient's name or phone number; matches will populate underneath.
    • Select the recipient and write your message, then send it from the bottom right of the panel.
    • You can send messages to any phone number, even if it is not linked to an existing patient.
