How to Turn On and Utilize Spanish SMS Templates
Adding SMS Templates
You can now easily communicate with Spanish-speaking patients by adding Spanish SMS templates. To do this:
Access SMS Templates:
Navigate to Campaign > SMS Templates.
Click the "+" button next to "EN" to add a new language template.
Adding a New Language Template: There are three ways to add a Spanish template:
Blank Template: Start from scratch and write your own Spanish message.
Copy from English Template: Copy the content from the English template and translate it into Spanish.
Automatic Translation: Use AI to translate the English template into Spanish automatically.
Regardless of the method chosen, review each template for accuracy before saving and sending it to patients.
Note: This feature must be turned on internally if you don't see the "Add New Language" option. Contact Support to enable it.
Resetting Existing Templates and Importing Spanish Templates
You can reset all default templates to customize your own SMS templates and translate them into Spanish.
This action will remove all default messages and cannot be undone.
Reset Templates: This can be done under the Templates section in the Appointment, Forms, and Payments tabs.
Follow-up Campaigns: Templates can also be reset within each Follow-up Campaign, such as the Appointment Reminders Campaign.
Sending a Spanish SMS Message
Once you've set up your Spanish SMS templates, campaigns, and automated messages will use the patient's preferred language, which you can set in your practice PMS. You can also find and set this setting within the Patient Window under Details > Language Settings.
Automated SMS: The message will default to English if a Spanish template is unavailable. Ensure your automated messages have templates for both EN and ES.
Manual SMS: When sending a manual message from the Communication Center, you can select the Spanish template from the SMS templates. This is how the message will appear in the Comm Center.
Setting Language Preferences
To ensure patients receive messages in their preferred language, set their language preference in your PMS:
Open Dental: Found under Patient Information.
Dentrix and Eaglesoft: Set through Practice by Numbers in the Patient Overview under Details > Communication Preferences.
