Handling Cancellations and No-Shows in Dentrix

To ensure accurate results in Practice IQ, manage cancellations and no-shows in Dentrix using the following guidelines:

Handling Failed Appointments (No-Shows)

Mark as Failed:

  • Right-click on the appointment.

  • Select "Break Appointment."

  • Important: Do not delete the appointment. Doing so will remove its history, and Practice by Numbers (PBN) will not recognize that it existed.

Handling Canceled Appointments

Mark as Canceled:

  • Do not select "Break Appointment" or "Delete Appointment."

  • Click on the appointment to open the "Appointment Information" window.

  • Select "Wait/Will Call."

  • This moves the visit to "Unscheduled Treatment" for rescheduling.

Rescheduling Same-Day Appointments

  • If the patient reschedules on the same day:

    • Create a brand new appointment rather than using the same one.

  • If the patient reschedules the next day or later:

    • Follow the same process as remaking a canceled appointment.

Following these steps, you can maintain accurate appointment histories and ensure Practice IQ reflects correct data.
