Understanding the Active Patient Definition in Practice IQ

It's important to understand how Active Patients are defined in Practice IQ Analytics, as this number may differ from what you see in your Practice Management System.

To view your Active Patient metrics: Practice IQ → Advanced → Patient Flow Dashboard → Active Patients

The Active Patients panel displays two metrics:

  • 18 Months

  • 12 Months

What qualifies as an Active Patient?

An Active Patient is a patient who has had at least one completed visit during the selected time period and has not left the practice (for example, due to moving, transferring, dismissal, or another deactivation reason).

18-Month Active Patients

  • Counts all unique patients who have had at least one completed visit within the previous 18 months and remain active with the practice.

12-Month Active Patients

  • Uses the same criteria but only includes patients who have had at least one completed visit within the previous 12 months and remain active with the practice.

Why might the numbers differ from my Practice Management System?

The Active Patient count in Practice IQ may not match the number shown in your Practice Management System because the two systems use different definitions.

Many Practice Management Systems continue to mark patients as Active even if they have not been seen in more than 18 months. Practice IQ, however, classifies those patients as Inactive for analytics purposes because they have not had a completed visit within the active reporting window.

As a result, it is normal for the Practice IQ Active Patient count to be lower than the Active patient count displayed in your Practice Management System.
