How to find patients seen that are not scheduled for a next visit.

Pre-appointed: Patients who do have their next appointment scheduled.

Not Pre-appointed: Patients who do NOT have their next appointment scheduled.

Practice by Numbers dashboards display the following Pre-appointment KPIs:

  1. Hygiene pre-appointment

  2. Doctor pre-appointment

  3. New patient pre-appointment

  4. All patients pre-appointment

  5. Preappointment Success

  6. RevenueIQ - Preappointment

1. Hygiene pre-appointment:

This KPI panel is located on the HOME page and Provider Productivity page.

Hyg Pre-appointment % - is the %age of hygiene patients that have a ‘hygiene specific procedure’ future appointments

Click on the upward slanting arrow on the title bar to expand the panel to find Hygiene patients seen without hygiene specific future appointment.

To get an accurate Pre-appointment number, keep in mind the following points:

  • Hygiene specific procedure appointments should have 'hygiene specific codes'. To learn more about how to schedule hygiene appointments correctly, please go through this article - Verifying Hygiene PreAppointment KPI's .

  • Select time period as Month to Date. Sometimes in the not pre-appointed patient list you might see hygiene patients with appointments showing up in the list. This is because the hygiene pre-appointment patient search is looking past the current month, so any hygiene appointments scheduled within the same month will not be included in the search. So to get an accurate number select the time period as month-to-date.

  • For pre-appointments we only consider appointments made within 15 days of the original hygiene appointment. If future hygiene appointment is made 15 days after original hygiene appointment, it is not counted as pre-appointment. This way we don't rewrite history by changing pre-appoinment rates from months ago.

Hygiene pre-appointment ANY % - is %age of hygiene patients that have any future appointment (i.e. any appointment could be hygiene appointment or a doctor appointment or both)

Click on the upward slanting arrow on the title bar to expand the panel to find Hygiene patients seen without ANY future appointment.

2. Doctor pre-appointment%:

Doctor pre-appointment panel is located on the Provider Productivity page.

Doctor pre-appointment % is the %age of patients seen for any doctor procedure in the time period that have another doctor specific procedure appointment.

Doc pre-appointment Any % is the %age of patients seen for any doctor procedure in the time range viewed that made any type of appointment for a future date.

Click on the upward slanting arrow of this KPI panel to find Doctor patients seen without doctor specific procedure future appointment.

This KPI panel can be filtered for an individual provider by selecting a doctor from the 'All Providers' drop down at the top of the page.

3. New patient pre-appointment %:

New patient pre-appointment panel is located on the Patient Flow page.

New patient pre-appointment % is the %age of new patients who scheduled any next appointment. This metric is very important because the cost to acquire a new patient could be as high as 100$. Therefore this percentage should be at least >80% to make sure your new patients are coming back into the practice.

Click on the upward slanting arrow to expand the panel to get the list of new patients that left without scheduling a follow up appointment.

4. All patients pre-appointment %:

All Patients Pre-Appointment KPI panel is located on the Operational page of PracticeIQ. It is the %age of patients seen in the given time range that have any future appointment scheduled.
Not Pre-app
is the number of patients seen who don't have any future appointment scheduled.
Click on the upward slanting arrow to expand this panel to get a list of all the patients seen who don't have any future appointment scheduled. You can also create tasks from this list to follow up with these patients.

5. Pre-appointment Success%:

PbN considers an appointment successful if it was made at least 3 months before and was not cancelled or failed. This KPI panel is located on the Operational page.

6. Revenue IQ Pre-appointment:

The Pre-appointment section under Revenue IQ gives you some inbuilt appointment types to search for patients who don't have a future appointment scheduled.
