Provider Colors in Patient Flow

Provider color indicators make it easy to identify which provider is assigned to each appointment directly within Patient Flow.

This feature improves coordination, accountability, and scheduling clarity.

How Provider Colors Work

Each provider in your system is assigned a specific color.

When an appointment is scheduled with a provider:

  • The appointment displays that provider’s color.

  • The color appears on the patient card within Patient Flow.

This allows staff to visually associate patients with providers instantly.

Dual Provider Appointments

If two providers are assigned to the same appointment:

  • Dual color indicators appear.

  • Each color corresponds to one assigned provider.

This commonly applies to:

  • Doctor + Hygienist visits

  • Multi-specialty cases

  • Procedures requiring two clinical roles

Operational Benefits

Provider colors help:

  • Reduce confusion about responsibility

  • Prevent patients from being overlooked

  • Improve chair coordination

  • Support faster decision-making

Example: If a hygienist sees a dual color indicator, they know the doctor exam portion is also required.

When Provider Colors Are Most Helpful

  • High-volume practices

  • Multi-doctor offices

  • Practices with rotating providers

  • Offices with shared operatories

Troubleshooting Visibility Issues

If provider colors do not appear:

  • Confirm provider assignment in the PMS.

  • Verify appointment is properly synced.

  • Refresh Patient Flow.

Best Practice

Ensure providers maintain consistent color assignments for familiarity across the team.
