Adding Notes to Payment Plans

The Notes feature in Payment Plans lets your team record important internal details directly on a payment plan. This can include patient conversations, special arrangements, follow-up reminders, or internal instructions for staff.

Notes are available on all payment plans, automatically save as you type, and are for internal use only—so nothing is ever lost or shared with patients.


Where Notes Appear

The Notes section appears at the bottom of the Payment Plan view, below the payment schedule and plan details.

You’ll see:

  • A multi-line text box labeled “Notes” or “Notes (Internal Use Only).”

  • The notes section is always visible, no matter the payment plan’s status

This makes it easy to add or review notes at any point in the payment plan’s lifecycle.


Supported Payment Plan Statuses

Notes are available for all payment plan statuses, including:

  • Proposed

  • Accepted

  • Active

  • Retry

  • Delinquent

  • Completed

  • Cancelled

Even after a payment plan is completed or cancelled, notes remain visible so your team can reference historical details later.


How Auto-Save Works

There’s no Save button—notes are saved automatically.

Your notes are saved when:

  • You pause typing for a moment, or

  • You click anywhere outside the notes field

Once saved, notes will automatically reload when you open the payment plan again.

Tip: You can close the payment plan or navigate away without worrying about losing your notes.


Visibility & Usage

  • Notes are internal only

  • Notes are not visible to patients

  • Notes are not included in payment portals, messages, or notifications

This allows your team to document sensitive or operational information without impacting the patient experience.


Permissions

Access to notes follows your existing Payment Plan permissions:

  • Users with edit access can add and update notes

  • Users with view-only access can see notes, but cannot make changes

If you don’t have permission to edit a payment plan, the notes field will appear read-only.


Best Practices

  • Document important patient conversations related to the payment plan

  • Add internal follow-up reminders for your team

  • Update notes as the payment plan status changes to keep information current

The Notes feature helps your team stay aligned by keeping important internal information directly on each payment plan. With automatic saving, visibility across all plan statuses, and internal-only access, notes provide valuable context without adding extra steps to your workflow.
