How to Offer Payment Plans for Treatment Plans

Offering flexible payment plans to patients makes treatments more affordable and encourages them to move forward with their care. Practice by Numbers (PbN) makes it simple to offer customized payment plans when presenting treatment plans. Follow these steps to get started:

Step 1: Access the Treatment Plan Modal

  1. Go to the patient’s profile or open the treatment plan from the Comm Center.

  2. Scroll to the bottom of the treatment plan modal to find the "Payment Options for This Treatment Plan" section.

    • If you don’t want to offer any payment plan options, leave this section as it is.

    • Otherwise, proceed to select the plans you want to offer.

Step 2: Select Payment Plans

1. Verify or adjust the treatment plan cost:

  • The cost is auto-calculated based on the selected treatments.

  • Edit the amount if necessary.

2. Choose payment plans:

  • Click on the "Payment Plan Options" dropdown to see eligible plans.

  • The system filters plans based on criteria you’ve set, such as:

    • Whether the patient has insurance or is fee-for-service (FFS).

    • The treatment cost range.

    • Tags or exclusions applied to specific patients.

3. Select up to three plans to offer the patient:

  • If you select more than three, the system will automatically send the best three plans to the patient.

Step 3: Set Payment Requirements (Optional)

1. Use the "Make Payment Required" toggle:

  • Turn it ON to require the patient to pay the first installment or down payment before accepting the plan.

  • Leave it OFF if you want to make this step optional for the patient.

Step 4: Finalize and Send

1. Enter a name for the plan: This is for your internal reference (max 200 characters).

2. After filling out the required details:

  • Send the plan to the patient.

  • You’ll receive a confirmation message once the plan is successfully sent.
