Default Payment Notes: Payment Plan Request

Default Payment Notes help your practice send clear, consistent payment messages to patients without rewriting the same message every time.

A new default note—Payment Plan Request—is now available. This note is automatically used whenever a patient is offered or placed on a payment plan, helping ensure your communication stays professional and consistent.


What’s New: Payment Plan Request Note

In addition to your existing default payment notes, you’ll now see a fourth option:

  • One-Time Payment Request

  • Account Balance Request (Patients with Insurance)

  • Account Balance Request (Patients without Insurance)

  • Payment Plan Request(new)

Payment Plan Request is specifically designed for messages related to payment plans.

Description shown in the system: “This is the default payment message sent to patients when they are offered or placed on a payment plan.”


Where to Find It

Go to: Payments → Settings → Default Payment Notes

The Payment Plan Request note appears below the other default payment notes and looks and functions the same way.


How It Works

  • The Payment Plan Request note is a multi-line, editable message

  • You can customize it to match your practice’s tone, policies, or branding

  • Once saved, this message is automatically used when:

    • A payment plan is offered to a patient, or

    • A payment plan is created and sent to a patient

This ensures patients always receive a consistent message when payment plans are involved.

Editing and Saving the Note

  • The Payment Plan Request note is fully editable

  • After making changes, click Save at the bottom of the Default Payment Notes section

  • The Save button applies to all default payment notes in this section

Tip: Be sure to click Save, or your updates won’t be applied.

Permissions

  • Users with admin or payment settings access can edit and save default payment notes

  • Users without edit permissions can view the notes but cannot make changes


Best Practices

  • Keep payment plan messages clear, friendly, and easy to understand

  • Set expectations around installment amounts and payment timelines when appropriate

  • Review this note occasionally to ensure it reflects your current policies

The Payment Plan Request default note gives your practice a dedicated, customizable message for payment plans. It works just like your other default payment notes, making it easy to manage all payment messaging in one place while ensuring consistent communication with patients.
