Configuring Appointment Confirmed Statuses (Dentrix & Open Dental)

In Practice by Numbers, confirmed appointments are determined by the statuses you select under:

⚙️ New Settings → Practice → Appointment Statuses

Selecting the correct statuses ensures that PbN recognizes which appointments are confirmed in your practice management system (PMS). This helps maintain accuracy in scheduling views, confirmations, and related metrics.

⚠️ Important: This configuration does not apply to Eaglesoft.
PbN automatically identifies confirmed appointments from Eaglesoft, so no manual setup is required.


Configuring Appointment Confirmed Statuses

To configure which appointment statuses are recognized as confirmed:

  1. Go to New Settings → Practice → Appointment Statuses.

  2. Review the list of appointment statuses synced from your PMS.

  3. Check the boxes for any statuses that represent a confirmed appointment in your system.

  4. Leave unchecked any statuses that represent pending confirmations, messages sent, or unconfirmed appointments.

  5. Click Save when finished.

💡 Tip: Only select statuses that indicate an appointment has been confirmed. Avoid selecting communication-related statuses (such as texted or emailed), which reflect outreach attempts rather than confirmations.


Best Practices

  • Verify After Setup: Review your PbN Schedule to ensure confirmed appointments display correctly once changes are saved.

  • Use Consistent Statuses: Make sure all team members use the same confirmation codes or statuses in your PMS to maintain data accuracy.

  • Avoid Over-Selection: Only select statuses that truly represent confirmed appointments to prevent inaccurate reporting.

  • Keep Updated: If new statuses are added or modified in your PMS, revisit this page to ensure PbN remains properly synced.
