Configuring PMS Writeback Settings in Practice by Numbers

To ensure seamless integration and synchronization between Practice by Numbers (PbN) and your Practice Management Software (PMS), it's crucial to configure the writeback settings correctly. This guide will walk you through the necessary steps.

Accessing the PMS Writeback Settings

Login to Practice by Numbers:

  • Navigate to the top right corner of the page.

  • Click on the person icon.

  • Select Settings from the dropdown menu.

  • Select PMS Write Back Settings.

Obtaining the Provider ID

To configure the PMS Writeback settings, you will need an active Provider ID from your PMS. If this step is not followed, your information will not accurately write back. Below are steps to obtain the Provider ID for each PMS.

Configuring Writeback Types

In the PMS Writeback settings, you can select which types of notes and documents you want to be written back to your PMS. Below is a breakdown of the available options:

  1. SMS and Email Communications:

    • Outgoing SMS

    • Incoming SMS

    • Outgoing Email

  2. Phone Call Logs:

    • Incoming Phone Call

    • Outgoing Phone Call

    • Missed Phone Call

    • Incoming Call Transcript

    • Outgoing Call Transcript

    • Incoming Call Summary

    • Outgoing Call Summary

  3. Patient and Task Notes:

    • Patient Notes

    • Task Notes

  4. Insurance Verification:

    • Verification notes

For each writeback type, you can enable or disable the writeback by selecting the corresponding checkbox under the Allow column.

Selecting Note Types

You can specify which note types you want to be written back to your PMS by choosing the appropriate options in the Note Type section.

Configuring Document Types

You can manage which document types you want to write back to your PMS and which to read from your PMS:

  1. Insurance Verification

  2. Account Statement

The options in the drop-down will come from your PMS for each document type.

Sync Intervals for Fast Updates

Set intervals (in seconds) for automatic syncing between PbN and your PMS:

  • Settings:

    • Appointment Status: Default is 15 seconds.

    • Appointment Changes: Default is 60 seconds.

    • New Patients: Default is 30 seconds.

    • Patient Account Balances: Default is 300 seconds.

  • Patient Profile Photos: Check this box if you want the patient's profile photo to replace the patient's initials in the patient window.

Confirmed Appointment Status

PbN allows you to configure how appointment statuses are synced. All confirmation statuses that you have within your PMS must be selected here for appointments to be in a confirmed state on the schedule.

  • Settings:

    • Confirmed in PbN: Map to a PMS status (e.g., "PbN Confirmed").

    • Unconfirmed in PbN: Map to a corresponding PMS status (e.g., "Unconfirmed").
