Managing Permissions for Restricted Staff

Managing permissions for Restricted Staff allows you to tailor access levels and restrict specific features to safeguard sensitive information and align with your practice’s operational needs.

General Tab

To prevent Restricted Staff from managing tasks assigned to other employees, unselect Manage everyone’s tasks. When this option is disabled, staff can only manage their own tasks. If you don’t want staff to edit practice settings, unselect Change practice settings. Disabling this permission also removes access to:

  • Viewing user accounts

  • Editing user accounts

  • Accessing billing settings


Communication Tab

To restrict access to phone call logs, unselect View phone call logs. This ensures they cannot view detailed call records within the system.


Appointments Tab

To hide production numbers from Restricted Staff on the Huddle and Schedule pages, unselect See production numbers on the schedule (Schedule) and See production numbers on the schedule (Huddle). This ensures that Restricted Staff will not have access to sensitive production-related metrics while still allowing them to use the Schedule and Huddle pages for other operational tasks.


Analytics Tab

If you want to limit access to built-in dashboards, unselect View built-in dashboards. This restricts staff from accessing default dashboards and allows them to view only custom dashboards shared with them. To prevent access to financial information such as QuickBooks data, unselect View financial accounts. If staff should not modify or set practice-wide goals, unselect Edit and set practice goals.

To restrict staff from running RevenueIQ searches and creating patient lists, unselect Run RevenueIQ queries. Removing this permission also disables:

  • Saving custom RevenueIQ queries


Payments Tab

To ensure Restricted Staff cannot access payment-related data, unselect the View payments dashboard. If you don’t want them to send payment requests or charge patients, unselect Send payment requests and charge customers. Disabling this permission also removes access to:

  • Managing refunds

  • Removing patients from Pending One-Time Requests

By adjusting these permissions, you can provide Restricted Staff with access tailored to their role while protecting sensitive data and ensuring secure workflows. Be deliberate in selecting or deselecting permissions to align with your practice's operational needs.
