This guide explains how to exclude patients who have already left a review from the Review Request Campaign in Practice by Numbers (PbN). The system will attempt to tag patients automatically, but manual checks may be needed if patients' names differ on Google from those entered in the PMS.
Step 1: Navigate to the Settings Page
Log in to your Practice by Numbers account.
Click on your user profile icon in the top-right corner.
From the dropdown menu, select Settings.
Under the Marketing section, locate and click on Tag Patients Who Have Written Reviews.
This feature automatically tags all patients who have left reviews in the past. However, you may need to cross-check this information for accuracy. This button will only need to be clicked once when starting with PbN or initiating the automated review request campaign.
Step 2: Verify Tags on the Reputation Page
Navigate to the Reputation page from the main menu.
Review the list of tagged patients. If the system did not automatically tag a patient who has left a review due to name discrepancies, manually tag the patient.
Step 3: Adjust the Review Request Campaign
Return to the user profile icon in the top-right corner and click on Campaigns from the dropdown menu.
In the Campaigns table, locate the Review Request Campaign under the General section.
Open the campaign and enable the option Exclude the patients who already reviewed by checking the box.
Step 4: Finalize the Campaign
Save the changes in the Review Request Campaign settings.
Monitor the campaign performance to ensure it targets only patients who have not yet left reviews.
