Automatically Sending Review Requests via Text and Email

The Review Request Campaign in Practice by Numbers (PBN) automatically sends emails and text messages to patients after their appointments, asking them to leave a review.

Step 1: Connect Google & Facebook

Connect Accounts

  • First, connect your Google and/or Facebook accounts to PBN.

  • To ensure reviews are directed to Google, drag the Google icon from the "Do not send" section to the "send review requests for these sites" section within the Campaign settings. Click Save to confirm changes.

Step 2: Set Up & Activate Review Requests

Open Campaigns

  • Open the menu at the top right and select "Campaigns."

  • Find "Review Request Campaign" under General campaigns and click "Click to set up."

Edit and Activate the Campaign

  • Step 1: Select Medium

    • Choose whether to send the review request via email, text, or both.

Step 2: Apply Filters

  • By default, all patients with completed appointments will receive a request. You can exclude or include certain patients as needed.

  • Adjust campaign settings to exclude patients who have received review requests within the last year. However, ensure patients who received other messages, like appointment reminders, in the past three months are not excluded.

Step 3: Set Frequency and Edit Templates

  • Determine how often review requests are sent and customize the built-in text and email templates.

  • To add a review request link to the template, insert the Review Request URL placeholder in the desired location within the message content. Save the changes on both the edit and campaign pages.

Step 4: Review Page

  • Edit the verbiage seen on the Review page.

Step 5: Choose Review Sites

  • Select the sites (Google, Facebook, etc.) where you want patients to leave reviews.

  • Step 6: Test Date

  • Test with a specific date to see a list of patients who will receive the review request.

  • Step 7: Save and Activate

  • Save your settings and activate the Review Request Campaig

  • For optimized results, adjust the campaign to exclude redundant review requests while maintaining a balance with other campaign types. Refer to the settings to refine this process.n.

Once activated, patients will receive messages with a link to leave a review. The link will take them to a page where they can choose a site to leave their review.

  • If the placeholder menu for inserting links does not appear, click into the text field within the message editor to trigger its display. Ensure the placeholder is positioned accurately before saving the changes. Click Save on both the current page and the previous page to finalize.
