The Service Code Mapping feature allows practices to automatically send patients the correct forms based on the services they are scheduled for.

How Service Code Mapping Works

Under the forms settings in PbN, there’s a new column called ‘Required for?’. When this is selected, the form will be linked to a specific service code. Any time an appointment is booked for a service associated with that code, the appropriate form will be automatically sent to the patient.

By using this feature, you eliminate the need to manually send out forms, ensuring that the right information is gathered before the appointment. This enhances both practice efficiency and the patient experience.

Important Note

When the ‘Required for?’ column is selected, the ‘Frequency’ column will be automatically disabled, as both options cannot be used simultaneously. You will either assign a form to a service code or set up a form based on frequency, but not both at the same time.

ARC Integration for Service Code Mapping

To ensure patients have quick and easy access to the forms they need to complete, it’s recommended that practices include the pending forms link in their ARC (Appointment Reminder Communication). This way, when forms are tied to service codes, patients are reminded to complete them before their appointments, avoiding delays or incomplete information on the day of the visit.

How to Set It Up

  1. Go to the Forms section in your PbN dashboard.

  2. In the ‘Required for?’ column, select the specific service codes you want to map to the corresponding forms.

  3. Ensure that your ARC messages include a link to the pending forms so patients can easily complete them.
