The Payment Follow-up Sequence allows you to customize a structured series of follow-ups for patients added to the payment follow-up system. This feature helps ensure that patients are consistently reminded about outstanding payments, enhancing the likelihood of payment collection.



Here’s a detailed breakdown of how this sequence works:


Customizing Follow-ups

  • Applicability: The follow-up sequence applies to patients added to the system either automatically (based on predefined criteria) or manually. It does not apply to patients who receive a one-time payment request.
  • Initial Delay: When a patient is automatically added to the follow-up sequence, the first follow-up is scheduled 7 days out. This delay gives you time to review the follow-up details or cancel the follow-up if necessary.
  • Immediate Start: If needed, you can override the initial delay and start the follow-up sequence immediately.


Sequence Schedule

The follow-up sequence is structured with specific intervals between each follow-up action. Starting on Follow-up 2, the timing can be adjusted as needed, and additional follow-ups can be added after Follow-up 5. Here is an example schedule:

  1. Follow-up Start

    • Initial Action: The first action in the sequence.
    • Timing: Immediate or scheduled after 7 days from the automated addition to the follow-up.
  2. Follow-up 1

    • Timing: 7 days after the follow-up start.
    • Actions: Create Task, Send Email, Send Text.
  3. Follow-up 2

    • Timing: 14 days after the follow-up start.
    • Actions: Can be customized based on your practice's needs.
  4. Follow-up 3

    • Timing: 21 days after the follow-up start.
    • Actions: Can include additional reminders, tasks, or other communication methods.
  5. Follow-up 4

    • Timing: 28 days after the follow-up start.
    • Actions: Further follow-up actions, continuing the reminder process.
  6. Follow-up 5

    • Timing: 35 days after the follow-up start.
    • Actions: Final follow-up actions to ensure the patient is reminded about the outstanding payment.


Configuring Actions

For each follow-up stage, you can configure a variety of actions to ensure effective communication with the patient. These actions may include:

  • Create Task: Automatically create a task in your system for a staff member to follow up with the patient.
  • Send Email: Send an email reminder to the patient about their outstanding balance.
  • Send Text: Send a text message reminder to the patient, ensuring they receive the notification on their mobile device.


Flexibility and Control

The follow-up sequence is highly customizable, allowing you to:

  • Adjust the timing of each follow-up stage to fit your practice's workflow.
  • Choose different actions for each follow-up stage to ensure appropriate communication methods are used.
  • The follow-up sequence can be reviewed and modified at any time based on patient responses and payment trends to improve its effectiveness.
