How to Create a Purchase Order for a Terminal and Track Assigned Terminals (Owned or Rented) in PbN

Important: Only create a Purchase Order (PO) and place a terminal order through the Adyen portal after the practice’s Know Your Customer (KYC) process is successfully completed. If you order a terminal before KYC is completed, the practice could potentially see and assign itself to any store, which we want to avoid.

Step 1: Access the PbN Payment Administration

The Admin menu on the Settings page now has a new option, “PbN Payment Administration.”

Step 2: View Assigned Terminals

Click on “PbN Payment Administration” to view a list of all terminals currently assigned to practices.

Step 3: Create a Purchase Order

  1. Click the “Order New Terminal For Practice” button. A form will appear where you need to fill out the following information:

    • Practice: (Required) Select the practice. This field is blank by default.

    • Purchase Order: This field is disabled as the PO is automatically generated in the format: pbn--. The PO is only saved when the request is successfully submitted. You can copy the PO by clicking the copy icon.

    • Model: Select a terminal model from the list. Currently, the available models are Android S1F2 and Verifone V400M.

    • Quantity: The default is set to 1. You can select up to 10 terminals at a time from the dropdown.

    • Price/Terminal: This field is disabled. The price is the same for all models and will be automatically populated based on the selected model.

    • Rented: If “Yes” is selected:

      • Rented Price/Terminal: Default is $25. The minimum allowed value is $20, and the maximum is $100.

      • Minimum Transaction for Free Use/Month/Terminal: Default is $40,000. The minimum allowed value is $20,000, and the maximum is $100,000.

    • If “No” is selected for “Rented,” rent-related information fields will not be displayed.

Step 4: Place the Order

After filling out the required fields, click “Place Order.” This will create a Purchase Order for further tracking. Use this PO to place the actual terminal order through the Adyen Portal.
