The Review Request Campaign in Practice by Numbers (PBN) automatically sends emails and text messages to patients after their appointments, encouraging them to leave a review. Follow the steps below to connect your accounts, customize your campaign, and activate automated review requests.
After selecting the main menu icon on the right-hand side, select New Settings from the drop-down.
Then select Reputation > Review Request Settings.
Click Connect with Google and Connect with Facebook to connect your business pages.
Click Save to confirm your changes.
Step 2: Set Up and Activate the Review Request Campaign
Access the Campaign
Open the menu in the top-right corner and select Campaigns.
Under General Campaigns, find Review Request Campaign.
Edit and Activate the Campaign
Choose Message Medium
Select how you want to send your review requests:
Text message (SMS)
Email
Both text and email
Apply Filters
By default, all patients with completed appointments will receive a review request.
You can fine-tune your filters to:
Exclude patients who already received a review request within the past year.
Include patients who received other types of messages (e.g., appointment reminders) within the last three months.
💡 Tip: Adjusting filters helps prevent duplicate or excessive review requests while maintaining consistent patient engagement.
Set Frequency and Edit Templates
Determine how often review requests are sent.
Customize the built-in text and email templates to match your tone.
To include a link for reviews, insert the Review Request URL placeholder in the desired location within your message.
Click Save on both the template editor and campaign setup pages to confirm your changes.
Customize the Review Page
Edit the text and messaging displayed on the Review Page where patients will be directed after clicking the link.
Select Review Sites
Choose which platforms you’d like patients to leave reviews on—such as Google, Facebook, or others.
Test the Campaign
Use the Test Date option to preview which patients will receive review requests for a specific day. This ensures your filters and timing are configured correctly.
Save and Activate
Once all settings are configured:
Click Save to finalize your setup.
Activate the Review Request Campaign.
After activation, patients will automatically receive a review request link via text or email. The link leads to a selection page where they can choose a site (e.g., Google or Facebook) to leave their review.
Optimization Tip
For best results:
Exclude patients who have already received recent review requests.
Coordinate timing with other campaigns (e.g., reminders or marketing messages) to avoid overlap.
Periodically review campaign performance and adjust settings as needed.
