Practice by Numbers allows you to set, track, and manage performance goals (KPIs) across your entire office and down to individual team members. Whether you're focusing on production, collection, appointments, or other key metrics, setting clear goals helps your team stay aligned and measure progress accurately.

Part 1: Setting Goals
Set Goals from Dashboard Panels
You can set KPI goals directly from any Practice by Numbers dashboard (like Home, Financial, or Doctor):
Click the three dots in the upper-right corner of a dashboard panel and select Set Goal to set goals for the entire panel.
To set a goal for a specific KPI, click the three dots next to that number (usually visible when hovering over the KPI row).
This opens the goal-setting interface, where you can:
Choose a flat number goal or set monthly targets as a percentage increase over the prior year
Click on individual months or drag the green dot to manually adjust specific month targets
Use the gear icon to apply a fixed percent increase across all months
đĄ Manually adjusting month-by-month goals is helpful when working days vary (e.g., holidays) or provider schedules shift.
Set Goals in the Goals Section
For a centralized view of all dashboards and KPIs:
Click the Person Icon in the top right and choose Goals.
Select a dashboard from the left panel (e.g., Home, Hygienist, Business).
Set goals for each KPI using the same interface shown in the dashboard panel view.
This area is ideal for managing all goals at once, without having to visit individual dashboards.
Set Goals in Custom Dashboards
If youâre using Custom Dashboards to track specific KPIs:
Click the gear icon on a KPI card and choose Set Goal.
Use the same configuration options to apply monthly targets or flat values.
Assign providers (if relevant) directly from the custom dashboard panel.
Goal Frequency: Monthly vs. Daily
Monthly Goals are the default and can be applied to almost any KPI.
Daily Goals can be viewed by changing the time range at the top of the page.
Assigning Provider-Specific Goals
You can assign individual provider or team member goals in two places:
From the KPI goal setting screen or the Goals Page:
After setting a goal, click the Provider icon.
A dropdown will appear to select one or more providers.
You can assign a separate goal to each provider (not just split the office-wide goal).
From the Goals Report page (explained below):
Use the pencil icon next to any goal to open its settings.
Choose the provider to assign that KPI to.
This allows you to break down office-wide goals and assign ownership.
Part 2: Using the Goals Report
The Goals Report is a powerful tool that centralizes all KPI goalsâoffice-wide and provider-specificâinto a single interface for easy management, tracking, and reporting.
Accessing the Goals Report
Click the Person Icon in the upper-right corner.
Select Goals Report from the dropdown.
Youâll land on a categorized view of all goals set across your Practice by Numbers account.
Understanding Goal Categories
As you add and assign goals, the system automatically organizes them into categories:
Office-Wide: Goals applied to the entire practice
Critical Goals: Goals marked with the â star icon, or KPIs deemed essential by the system
Team Member Categories: When you assign a goal to a provider, it appears in a new section under that providerâs name
You can click any category header to expand and view its contents.
Assigning and Editing Provider Goals
Find the KPI in the report and click the pencil icon to open goal settings.
Select a provider from the dropdown to assign the goal.
Click the gear icon to set a specific target for that provider.
Use the address book icon to assign goal ownershipâthis ensures it appears under that providerâs name in the report.
Viewing Goal Values and Progress
For each goal in the report:
Youâll see the target number and current performance side by side
Hovering over the actual number shows a daily/monthly projection to help track whether youâre on pace to hit your goal
Color coding (green or red) indicates whether youâre on track or falling behind
đ You can use this page to audit goal assignments and identify underperforming metrics or team members who may need support.
Adjusting & Troubleshooting Goals
Mismatch of Frequency: If you donât see the expected goal behavior (e.g., daily targets not appearing), check that the KPI supports daily or monthly tracking as selected.
Changing Goals Mid-Year: You can return to any KPI at any time and adjust the goal manually for one month or across all remaining months.
Uneven Office Schedules: Use manual monthly editing when office hours or provider coverage varies throughout the year.
