Handling Cancellations and No-Shows

  1. In the Eaglesoft Appointment module, right-click the appointment and select "Delete this Appointment."

  2. In the dialog window, select either "Failed" or "Cancelled" based on your office policy.

  3. Ensure the "Add to QuickFill List" option is deselected.

This prevents PbN from losing track of failed or canceled appointments when a new one is made using the QuickFill list.

Posting Adjustments

When posting adjustments in Eaglesoft, ensure they impact "Adjustments" and not "Production." If they impact Production, the provider will have a negative production item on the day the insurance payment is entered.

Reconciling Reports

To reconcile Eaglesoft reports with Practice IQ dashboards:

  • Set up most adjustment types to impact "Adjustments."

  • Incorrect settings will cause negative production items instead of adjustments, and your write-offs will appear as 0 in PbN, making it difficult to analyze adjustments by type.

  • This discrepancy will often result in reports in Eaglesoft not matching PbN.

Hidden Adjustments

Adjustments in PbN reports might not appear in Eaglesoft because they can be hidden by default if they are deleted or modified transactions in the patient's ledger.

Managing Multiple Treatment Plans

For multiple plans treating the same problem:

  • Label only the primary or recommended plan as "Proposed."

  • After discussing them with the patient, label other plans as "Rejected" to avoid duplicate codes in the Presented Treatment amount.

Preventing Deletion of Completed Treatment Plans

By default, Eaglesoft deletes completed treatment plans, leading to "!!Plan Name Not Found" entries in the Treatment Acceptance window. These rows show proposed, accepted, and completed amounts but won't be visible in the Treatment Plan tab.

Setting Recall Frequency

In the "Edit Patient - Preferences" panel, set a Recall Frequency to create a Due Date and associate proper service codes with the next Recall appointment. This ensures accurate Overdue Recall reports in Practice IQ.

Hygiene Pre-Appointment Rate

To register the next Recall appointment in Practice IQ for evaluating the Hygiene Pre-Appointment rate:

  • Select the "Add Services" button after choosing the Appointment Type in Eaglesoft.

Matching Reports

To match Eaglesoft reports with Practice IQ, select "Other Range of Dates" in the filter settings for the report.

Reconciliation Settings

For reconciliation with Eaglesoft, use "Range of Dates" rather than "End of Days" or "End of Month" report filters.
