Improve Your AI Receptionist with Opportunities

The Opportunities section helps you identify ways to improve your AI Receptionist's setup and performance.

Within Opportunities, you'll find Action Cards with recommended actions based on your current setup and real patient calls. These cards help you quickly identify gaps, understand why they matter, and navigate directly to the settings that may need attention.

Where to Find Opportunities

Go to: AI Receptionist → Overview

The Opportunities section appears just below the Agent Identity section.

You'll see up to three Action Cards at a time, along with a Run Check button to check your AI Receptionist setup for additional opportunities.

What Are Action Cards?

Action Cards are recommendations within the Opportunities section that identify specific actions you can take to improve your AI Receptionist.

For example, an Action Card might let you know that:

  • Visit types haven't been configured.

  • Your cancellation or rescheduling policy needs updating.

  • Your services information hasn't been customized.

  • Patients are asking questions the AI Receptionist can't answer.

  • Patients are trying to book appointments that don't have a matching visit type.

Each Action Card provides information about the opportunity and directs you to the appropriate setting so you can take action.

Types of Action Cards

You'll see two types of Action Cards within Opportunities:

Setup

Setup Action Cards identify opportunities based on how your AI Receptionist is currently configured.

These may highlight missing information, default settings to customize, or other configuration updates that can help your AI Receptionist better serve patients.

Setup Action Cards may appear after your initial setup or when you select Run Check.

From Calls

From Calls Action Cards identify opportunities based on real patient conversations.

For example, if patients repeatedly ask a question your AI Receptionist can't answer or attempt to book an appointment without a matching visit type, an Action Card may be created to help you address the issue.

These Action Cards can appear automatically as your AI Receptionist handles calls.

Understanding an Action Card

Each Action Card provides the information you need to decide what to do next, including:

  • Priority — HIGH, MEDIUM, or LOW to help you identify which items may need attention first.

  • Type — Indicates whether the opportunity was identified from your Setup or From Calls.

  • Title — A short description of what was identified.

  • Description — Explains the opportunity and why you may want to address it.

  • Call details — For From Calls cards, you may see additional information such as the number of affected calls and date range.

  • Recommended action — Takes you directly to the setting where you can make an update.

  • Created date — Shows when the Action Card first appeared.

  • Card actions — Allows you to Mark as Done or Save for Later.

How to Take Action on an Opportunity

When an Action Card appears:

  1. Go to AI Receptionist → Overview and locate the Opportunities section.

  2. Review the available Action Cards.

  3. Consider addressing HIGH priority Action Cards first.

  4. Select the recommended action on the card.

  5. You'll be taken directly to the applicable AI Receptionist setting.

  6. Review the setting and make the appropriate changes.

  7. Return to Overview when you're finished.

  8. Select Mark as Done, or choose Save for Later if you aren't ready to address the card.

Action Cards are recommendations only. Your AI Receptionist settings will never be changed automatically.

Run a Check for New Opportunities

You can manually review your AI Receptionist setup at any time using Run Check.

This is especially useful after making changes to your configuration.

To run a check:

  1. Go to AI Receptionist → Overview.

  2. Find the Opportunities section.

  3. Select Run Check.

  4. You'll see Checking… while your setup is reviewed.

  5. When the check is complete, your Action Cards will refresh and the Last checked timestamp will update.

If there are no open Action Cards, you'll see: You're all set

No open opportunities right now. We'll automatically surface new ones as your bot handles calls. You can also run a manual check anytime.

Managing Your Action Cards

The Opportunities section displays up to three active Action Cards at a time, with higher-priority items displayed first.

For each Action Card, you can choose:

Mark as Done — Use this after you've addressed the recommended action.

Save for Later — Use this if you don't want to address the Action Card right now. Saving it for later allows another active card to appear in the Opportunities section.

What is the Opportunities section?

Opportunities is a section within AI Receptionist → Overview that provides recommendations for improving your AI Receptionist. Recommendations are presented as Action Cards that you can review and address.

What's the difference between Opportunities and Action Cards?

Opportunities is the section where recommendations are displayed. Action Cards are the individual recommendations within that section that tell you what action you can take.

Do I need to complete every Action Card?

No. Action Cards are recommendations. You can decide which ones are relevant to your practice and when you'd like to address them.

Why did a "From Calls" Action Card appear?

From Calls Action Cards are based on situations your AI Receptionist encounters during real patient calls. They can help identify gaps that may not have been apparent during initial setup.

For example, a card may appear if patients repeatedly ask a question the AI Receptionist can't answer or if a booking can't be completed because a matching visit type isn't available.

Will an Action Card disappear after I make the recommended change?

Setup Action Cards can clear after the underlying issue is resolved and the next check runs. You can select Run Check after making changes to refresh your Opportunities.

You can also select Mark as Done after you've addressed an Action Card.

What's the difference between "Mark as Done" and "Save for Later"?

Mark as Done removes an Action Card once you've addressed the recommendation.

Save for Later sets the Action Card aside so another recommendation can appear in its place.

Can an Action Card automatically change my settings?

No. The Opportunities section and its Action Cards provide guidance only.

Nothing about your AI Receptionist configuration changes until you choose to open the recommended setting and make the update yourself.

The Opportunities section gives you an easy way to see where your AI Receptionist could be improved without manually reviewing every setting.

Check your Action Cards regularly and review new From Calls recommendations as they appear. Taking action on relevant Opportunities can help your AI Receptionist better answer patient questions and complete more bookings.
