Configuring Treatment Plan Settings

The Treatment Plan Settings in Practice by Numbers allow your practice to control how treatment plans are stored, presented, and organized for patients.

You can customize patient-facing treatment plan content, include doctor's treatment notes, configure acceptance language, manage guardian information, recommend consent forms, and determine the order in which financial columns appear.


Access Treatment Plan Settings

  1. Navigate to Forms.

  2. Select Settings.

  3. Locate the Treatment Plan section.


Choose the Treatment Plan Storage Location

Select the default folder or document category where completed treatment plan forms should be stored in your Practice Management System (PMS).

The default location can also be customized for individual forms when necessary.

Choose a category that aligns with how your practice organizes treatment-related patient documentation.


Customize the Treatment Plan Overview

Use Treatment Plan Overview to customize the content patients see when their treatment plan is presented.

Use this area for introductory information or instructions that apply to the treatment plan.

Supported merge fields can be used to personalize patient-facing content where applicable. For example: {first_name} can be used to personalize content with the patient's first name.

Keep Treatment Plan Overview content clear and easy for patients to understand.


Use Doctor's Treatment Notes

Enable Use doctor's treatment notes when the doctor's treatment notes should be used within the treatment plan text.

Before enabling this option, consider how your providers enter treatment notes and whether those notes are appropriate for your patient-facing treatment plan workflow.


Treatment Plan Acceptance Text

Use Treatment Plan Acceptance Text to define the default statement patients acknowledge as part of the treatment plan workflow.

For example, this may include a statement confirming that the patient has reviewed and understands the treatment options presented.

Review this text periodically to make sure it continues to reflect your practice's preferred workflow.


Automatically Recommend Consent Forms

Enable Automatically recommend Consent forms when Treatment Plan is presented. When applicable, consent forms should be recommended as part of the treatment plan presentation.

This can help your team incorporate the required consent documentation into the treatment-planning workflow.

This setting is separate from the Include Consent Form option used with automated patient form delivery.


Show Guardian Info

Enable Show Guardian Info when guardian information should be displayed during the applicable treatment plan workflow.


Is Guardian Info Required

Enable Is Guardian Info Required when guardian information must be provided.

If guardian information is required, make sure Show Guardian Info is also enabled.


Reorder Treatment Plan Detail Columns

Practice by Numbers allows you to change the order in which financial columns appear in Treatment Plan Details.

This gives your practice flexibility to organize treatment plan information in the order that best matches how your team presents fees, insurance estimates, and patient responsibility.


Open Edit Column Order

To customize the display order:

  1. Navigate to Forms > Settings.

  2. Locate the Treatment Plan section.

  3. Click Edit Column Order.

The Edit Column Order window opens.

Available Treatment Plan Detail Columns

The columns include:

  • Fee

  • Discount

  • Patient Portion

  • Primary Est.

  • Secondary Est.

Change the Column Order

The Edit Column Order window uses drag-and-drop functionality.

To rearrange the columns:

  1. Locate the column you want to move.

  2. Use the drag handle on the right side of the column.

  3. Drag the column to the desired position.

  4. Repeat for any additional columns.

  5. Review the new order.

  6. Click Save Order.

Your selected display order will then be used for the Treatment Plan Detail columns.


Example

The default order may appear as: Fee → Discount → Patient Portion → Primary Est. → Secondary Est.

Your practice may prefer: Fee → Discount → Primary Est. → Secondary Est. → Patient Portion

This places the primary and secondary insurance estimates before the patient's estimated responsibility.

That can better match a workflow in which the team reviews:

  1. Treatment fee

  2. Discount

  3. Estimated primary insurance contribution

  4. Estimated secondary insurance contribution

  5. Patient portion

Reset the Columns to Their Default Order

If you want to restore the original column arrangement:

  1. Click Edit Column Order.

  2. Select Reset To Default.

This restores the default Treatment Plan Detail column order.

Cancel Changes

If you begin rearranging columns but do not want to apply your changes, select Cancel.

You can also close the Edit Column Order window using the X in the upper-right corner.

Use Save Order when you are ready to apply your new arrangement.

Why Customize the Column Order?

Reordering the Treatment Plan Detail columns can help:

  • Match the display to your practice's preferred financial workflow.

  • Present insurance estimates before the patient's portion.

  • Make financial details easier for team members to review.

  • Create a consistent treatment presentation process.

  • Organize information in the same order your team typically explains it to patients.

Tip: Consider establishing a standard column order for your practice so treatment plan financials are presented consistently across your team.


Review and Save Treatment Plan Settings

Before leaving the section, confirm that:

  • The correct PMS storage location is selected.

  • Treatment Plan Overview content is accurate.

  • Doctor's treatment notes are configured as intended.

  • Treatment Plan Acceptance Text is current.

  • Consent form recommendations are configured appropriately.

  • Guardian information settings are correct.

  • Treatment Plan Detail columns are in the preferred order.

Use the applicable Save button to save your Treatment Plan settings.

Note: The column-order window has its own Save Order button. Make sure the new column order is saved before closing the window.
