For organizations with multiple practice locations, you can quickly reuse your AI Receptionist Knowledge Base instead of rebuilding it from scratch.
The Copy From Another Practice feature allows you to copy Knowledge Base content from another practice within your organization. Whether you're launching a new location or standardizing information across offices, this feature helps you get started faster while maintaining consistency.
Note: Nothing is saved automatically. Copied content is added to your current draft and only becomes live after you click Save Changes.
Where to Find It
Navigate to New Settings.
Select AI.
Open the AI Receptionist tab.
Select the Knowledge Base tab.
Click Copy From Another Practice.
Before You Begin
Keep the following in mind before copying content:
You can only copy from other practices within the same organization.
Your current practice will not appear as a source option.
Source practices are sorted by most recently updated, making it easy to locate the latest configuration.
Existing content within the selected copy scope will be replaced after you confirm the copy.
Changes are not saved until you click Save Changes.
Copy Options
You can choose how much content you'd like to copy depending on your needs.

Custom Categories
If you've created custom FAQ or Service categories, those can also be copied at the panel level. The copied information is mapped to the matching category in the destination practice.
Note: Appointment Types cannot be copied because they are automatically synchronized from your practice's Visit Type configuration.
How to Copy a Knowledge Base
Copy an Entire Knowledge Base
Open the Knowledge Base tab.
Click Copy From Another Practice.
Select the practice you want to copy from.
Review the preview of the content that will be copied.
Read the warning that existing content will be replaced.
Click Confirm.
Review the copied information and make any necessary edits.
Click Save Changes to publish the new content.
Copy a Single Section or Panel
Navigate to the section or panel you want to update.
Click the Copy button.
Select the source practice.
Review the preview.
Confirm the copy.
Make any additional edits if needed.
Click Save Changes.
Preview Before You Copy
Before any information is copied, you'll see a preview of exactly what will be imported for the selected scope.
This allows you to:
Verify you're copying from the correct practice.
Review the incoming content.
Understand which existing information will be replaced before confirming.
If the selected practice doesn't have content available for that scope, the copy option will be unavailable, preventing blank information from replacing your existing configuration.
Saving Your Changes
Copying content only updates your current draft.
After copying, you can:
Review the imported content.
Make additional edits.
Continue configuring other sections.
When you're finished:
Click Save Changes to apply your updates.
Click Discard Changes to cancel everything copied during your current editing session.
What Doesn't Change
Using the copy feature does not change how the Knowledge Base normally works.
You can still edit every section manually.
The Save Changes and Discard Changes workflow remains the same.
Appointment Types continue syncing automatically from your Visit Type configuration.
Copying is entirely optional and is designed to speed up setup across multiple practice locations.
Frequently Asked Questions
Can I copy from a practice in another organization?
No. You can only copy Knowledge Base content between practices that belong to the same multi-location organization.
Does copying merge with my existing content?
No. The selected copy scope replaces the existing content for that scope. You'll always see a preview and replacement warning before confirming.
What happens if the source practice doesn't have any content?
The copy option will be disabled for that scope, preventing empty content from replacing your existing Knowledge Base.
I copied the wrong information. Can I undo it?
Yes.
If you haven't saved yet, click Discard Changes to restore your previous Knowledge Base.
If you've already saved, you can either copy again from the correct practice or manually update the content.
Best Practice
If your organization has a "master" practice with the most complete AI Receptionist configuration, keep that Knowledge Base up to date. New locations can then use Copy From Another Practice to quickly inherit consistent FAQs, scheduling information, insurance details, services, and office policies while making only the location-specific adjustments needed.
