How to Use the AI Receptionist Monitoring Page

The AI Receptionist Monitoring Page allows you to review and analyze conversations handled by the AI Receptionist. You can track active interactions, review past conversations, and gain insights into performance.

Access the AI Receptionist Monitoring Page

  1. Log in to your Practice by Numbers account

  2. Click your profile icon/name in the top right corner

  3. Select New Settings Page

  4. From the left-hand menu, navigate to: AI → Chatbot → Chatbot Monitoring

Filter Conversations

At the top of the page, choose how you want to view conversations:

  • Active Conversations → View only ongoing interactions

  • All Conversations → View the full history of AI Receptionist interactions

  • Ended Conversations → View only interactions that have ended

View Conversation List

  • The page displays a list of phone numbers that have interacted with the AI Receptionist

  • Each number represents a patient interaction

View Conversation Sessions

  1. Click on a phone number

  2. You’ll see a list of conversation sessions (e.g., Session 1, Session 2)

Each session includes:

  • When the interaction occurred (e.g., “3 days ago”)

  • Whether the session has ended

Click on a session to view detailed information.

Analyze Session Details

When you open a session, you’ll see detailed insights on the right-hand side:


Summary

Provides a quick overview of the session, including:

  • Session duration

  • Type of interaction (SMS or Call)

  • Language (currently English)

  • Message counts:

    • Patient messages

    • AI Receptionist messages

    • Internal system actions

Conversation Log

A full transcript of the interaction, displayed in chronological order:

  • Blue messages → Sent by the patient

  • Gray messages → Sent by the AI Receptionist

  • Yellow messages → Internal actions (e.g., retrieving data or processing requests)
