Why Data May Differ Between the Home Dashboard and Provider-Filtered Dashboards

When reviewing KPIs in Practice by Numbers, you may notice differences in totals or patient lists between the Home Dashboard and other dashboards (such as the Doctor Dashboard), even when using the same date range and selecting all available providers.

This is expected and is based on how each dashboard applies data filtering.


How the Dashboards Differ

Home Dashboard (Practice-Wide View)

The Home Dashboard is designed to provide a complete view of your entire practice.

  • Displays all data within the selected timeframe

  • Does not apply provider-level filtering to KPIs or drilldowns

  • Includes:

    • All providers (including inactive or unmapped providers)

    • Historical data based on when activity occurred

👉 This means the Home Dashboard always reflects everything happening across the practice, regardless of current provider setup


Provider-Filtered Dashboards (e.g., Doctor Dashboard)

Provider-filtered dashboards are designed for focused, provider-level analysis.

  • Include a provider filter in the header

  • Pass selected provider(s) into the data, which filters results

  • Only include data tied to those providers

Even when selecting “All Providers”:

  • The data is still limited to providers available in that filter

  • This list typically includes only active or mapped providers

👉 This results in a more refined dataset aligned to current provider structure

In the example below:

  • The Home Dashboard (top) shows practice-wide data with no provider filtering

  • The Doctor Dashboard (bottom) includes a provider filter in the header and displays filtered results

What’s Different in This Example

  • Production Values Differ

    • Home Dashboard shows $23,237 in Production

    • Doctor Dashboard shows $19,615 in Production

    • The Doctor Dashboard only includes production tied to selected providers, while Home includes all production across the practice


  • Patient Counts Differ

    • Home Dashboard shows 45 patients

    • Doctor Dashboard shows 38 patients

    • Patients tied to providers outside the selected or available filter are excluded on provider-filtered dashboards


  • Treatment Acceptance Differs Slightly

    • Home Dashboard: 38.2% Tx Acceptance

    • Doctor Dashboard: 38% Tx Acceptance

    • The KPI is calculated using different patient groups due to provider filtering


  • Provider Filter Behavior

    • Doctor Dashboard includes a provider filter in the header that directly impacts results

    • Home Dashboard does not apply provider filtering, even if a provider appears in the URL

This happens because:

  • The Home Dashboard always returns all treatment plans (provider = All)

  • The Doctor Dashboard always sends selected provider IDs, which filters the data


Why You May See Differences

Even when using the same:

  • KPI

  • Date range

  • Provider

You may still see differences because:

  • The Home Dashboard always returns all data across the practice

  • Provider-filtered dashboards apply provider-level filtering based on selected providers

  • Some data (such as activity tied to inactive or unmapped providers) may:

    • Appear in the Home Dashboard

    • Be excluded from provider-filtered dashboards


Important Note About Provider Selection

On provider-specific dashboards:

  • Selecting “All Providers” does not mean all data in the practice

  • It means all active providers in that dashboard’s filter

This can exclude certain records that are still included in the Home Dashboard.


What This Means for You

  • Both dashboards are accurate, but they answer different questions

  • Differences in patient lists or counts are expected behavior

  • The Home Dashboard provides a complete view, while provider dashboards provide a filtered view


Best Practices

  • Use the Home Dashboard when:

    • Reviewing total practice performance

    • Looking for a complete dataset

    • Analyzing overall trends

  • Use Provider Dashboards when:

    • Evaluating individual provider performance

    • Reviewing provider-specific KPIs

    • Managing accountability
