Active Users & Session Management

The Active Users tab provides real-time visibility into who is currently logged into Practice by Numbers and allows administrators to immediately revoke access when needed.


Where to Find Active Users

Go to: New Settings > General > Security Management > Active Users


What You Can See

For each active user, administrators can view:

  • User name and role

  • Number of active sessions

  • Whether the user has access to multiple organizations

Users with multi-organization access are clearly flagged.


Managing User Sessions

From this tab, administrators can:

  • Expand a user to see active sessions

  • Revoke all sessions for a user instantly

This is useful if:

  • A user leaves the practice

  • Credentials may be compromised

  • Immediate access removal is required


What Happens When You Revoke a Session

When an administrator revokes a user session:

  • The user is immediately logged out of the application

  • They must log in again with their username and password (and 2FA, if required) to regain access

  • Any unsaved work in that session may be lost


When You Might Revoke Sessions

Session revocation is commonly used in the following situations:

  • Security concerns – If you suspect unauthorized access or compromised credentials

  • Lost or stolen devices – If a user reports their laptop or phone was lost

  • Employee termination – To immediately cut off access when someone leaves the organization

  • Suspicious activity – If you notice unusual login locations or times

  • User request – If someone accidentally left themselves logged in on a public or shared computer


Best Practices

  • Review Active Users regularly

  • Revoke sessions for terminated staff immediately

  • Monitor multi-org users closely
