How to Forward Calls to Your Cell During the August 1–3 Planned Outage

From August 1 to 3, the Practice by Numbers platform will be temporarily unavailable due to scheduled maintenance.

This article is ONLY relevant if you are not using physical phones in the office.

During this time:

  • The web app and softphones (internet-based phones within PbN) will not be accessible.

  • Your physical office phones will continue to function normally.

  • Any existing call flows you've already configured will remain active.

If your team typically uses the Grow App to take calls on the go, or if you'd like to ensure emergency or urgent calls are handled after hours or over the weekend, we recommend setting up temporary call forwarding to a provider’s cell phone.

This ensures important calls won’t go unanswered if staff aren’t physically present in the office during the platform downtime.


🔹 Step 1: Log in to Practice by Numbers

  • Click your User Icon in the upper right corner.

  • Select Phone Admin.


🔹 Step 2: Create a Forwarding Schedule

  • In the left-hand menu, click Virtual Receptionist.

  • Click the ✏️ Pencil icon next to your current IVR to edit it.

  • In the upper left, click Call Flow.

  • Scroll down to the Customized Schedules section.

  • Click Add New.


🔹 Step 3: Set the Forwarding Dates

  • Give the schedule a clear name like Forward to Dr. Joe’s Cell.

  • Set Repeat to Period.

  • Choose the start and end dates for August 1–3.

    • Toggle “Full Day” if needed, or set custom times.

  • Click Next.


🔹 Step 4: Add the Call Forwarding Rule

  • Select the call flow you'd like this schedule to apply to.

  • Click Add Another Rule.

Option 1: Play a Greeting Before Forwarding

  • Select Play a Greeting.

  • Choose an existing clip or click Add a New Clip.

  • Click the ➕ Plus icon to add another step.

  • Select Transfer to External Number.

  • Enter the 10-digit cell number (e.g., 1234567890).

Option 2: Forward Without a Greeting

  • Select Transfer to External Number.

  • Enter the 10-digit phone number (e.g., 1234567890).


🔹 Step 5: Save Your Settings

  • Click Save to activate the forwarding rule.

  • Calls will automatically be routed to your cell phone during the selected dates and times.

  • Once the schedule ends, your regular call flow will resume automatically.


Optional: Reuse This Setup Later

To use this forwarding schedule in the future:

  • Click the ✏️ Pencil icon next to the schedule.

  • Update the dates and times, click Next, then Save.
