Efficient communication is key to managing patient relationships, and Practice by Numbers (PbN) offers a helpful feature to ensure your patients stay informed even when your office is closed. The ‘Replies for Missed Messages’ option allows your practice to automatically respond to incoming text messages received outside of office hours.

How It Works

When enabled, this feature automatically replies to patients who contact you when your office is closed. The message lets them know that your practice is unavailable and can include details like office hours or emergency contact information.

Setting It Up

  1. Go to Settings > Communications in your PbN dashboard.

  2. Enable the ‘Replies for Missed Messages’ and/or "Reploes for Missed Calls' option.

  3. Customize your message to suit your practice's needs, for example:
    "Thank you for your message! Our office is currently closed. We will respond during business hours. For emergencies, please contact [Emergency Contact Information]. Our business hours are [Insert Hours]."

With automated replies, you can maintain excellent communication and keep your patients informed, even when your office is closed.
