Track collections, manually add patients to follow-ups and more!

When you navigate to the Payments feature in Practice by Numbers, the first page you encounter is the Summary page. This page provides an overview of your practice's collection history through the PbN payment feature over a 24-month period, alongside several AR (Accounts Receivable) metrics.

Collection History and AR Metrics

At the top of the page, you will see:

  • Collected Amount: Displays the total amount collected to date.

  • Life Time Chart: A graphical representation of your collection history over the past 24 months.

  • AR Metrics: Breakdown of total AR, patient AR, and insurance AR.

AR Distribution

This section includes:

  • Current AR: Breakdown of amounts owed in different time frames (0-30 days, 31-60 days, 61-90 days, 91+ days).

  • Scheduled AR: Amount scheduled for automated collection.

  • Under Follow-up: Amount currently in the follow-up sequence.

  • Outstanding: Total outstanding amount.

  • Follow-up Exhausted: Amount that has gone through the follow-up sequence without payment.

Detailed Tabs

Scrolling down, you encounter several tabs that provide detailed information:

1. Scheduled:

  • Amount: Total dollar amount and patients scheduled for automated payment collection.

  • Patient List: Patients who will enter automated payment collection within 7 days if they meet the criteria set in Payment Settings.

  • Actions: Options to start follow-ups, snooze follow-ups, or cancel follow-ups.

2. Under Follow-up:

  • Amount: Total dollar amount and patients currently in the follow-up sequence.

  • Patient List: Details of patients in active follow-up.

  • Actions: The ability to add attachments or notes to payment links, manually add patients to follow-ups, or snooze patients.

3. Outstanding:

  • Amount: Total outstanding dollar amount.

  • Patient List: List of all patients who owe money to the practice.

  • Actions: Options to manually start follow-ups, send one-time payment requests, or snooze patients with selectable reasons for snoozing.

4. Follow-up Exhausted:

  • Amount: Total amount for patients who have gone through the follow-up sequence without paying.

  • Patient List: Details of these patients with options to start a new follow-up sequence or send a one-time follow-up.

Patient Actions

Each tab includes a patient list with actionable icons under the "Actions" column:

  • Start Follow-up: Manually start the follow-up sequence for a patient.

  • Send One-time Request: Send a single payment request to a patient without adding them to the full automated sequence.

  • Snooze: Temporarily pause the follow-up process for a patient, selecting from predefined snooze reasons.

Pending One-time Payment Requests

At the bottom of the page, there is a section for pending one-time payment requests:

  • Patient List: Patients with pending payment requests.

  • Actions: Options to cancel payment requests.

Additional Features

  • Search Functionality: Easily search for specific patients by name.

  • Attachments and Notes: Add detailed invoices or notes to payment links for patient reference.
