POS Transaction Limits

Practice by Numbers allows your practice to set a maximum amount that can be processed in a single Point of Sale (POS) terminal transaction.

If a payment exceeds your configured limit, the transaction is automatically declined at the payment terminal. This helps prevent unintended high-value charges while giving your practice greater control over terminal payments.

Note: This setting only applies to POS terminal transactions. Online (eCommerce) and Card Not Present (CNP) payments continue to use the platform-wide limit of $20,000, which cannot be changed.


How It Works

Your practice's transaction limit is subject to a maximum (ceiling) set by Practice by Numbers.

  • PbN Ceiling – The highest transaction limit your practice is allowed to configure.

  • Practice Limit – The maximum amount your practice allows for a single POS transaction.

If your practice has not been assigned a custom ceiling, your maximum configurable limit is $20,000.


Who Can Update the Limit?

Only the following users can modify the POS transaction limit:

  • Practice Owners

  • Office Admins

  • Staff members with the Can Edit Payment Service Configurations permission

Other users can view the current limit but cannot make changes.


Updating Your POS Transaction Limit

  1. Navigate to New Settings → Payments Service(s).

  2. Locate the Transaction Limits section.

  3. Click Edit next to the POS Transaction Limit.

  4. Enter a value between $1 and your practice's approved maximum.

  5. Review the confirmation message.

  6. Click Confirm to save your changes.

Changes take effect immediately for all new POS transactions.


If a Transaction Exceeds the Limit

When a payment exceeds your configured POS transaction limit:

  • The transaction is declined at the payment terminal.

  • The payment cannot be completed until:

    • The transaction amount is reduced,

    • The payment is split into multiple transactions (if appropriate), or

    • The POS transaction limit is increased (if your approved ceiling allows).

Audit Logging

For security and compliance, every change to your POS transaction limit is automatically recorded, including:

  • The user who made the change

  • The previous limit

  • The new limit

  • The date and time of the change


Frequently Asked Questions

Can I increase my limit above my approved maximum?

No. Your practice can only configure a limit up to the maximum ceiling assigned by Practice by Numbers. To request a higher ceiling, contact PbN Support.

When do changes take effect?

Changes apply immediately to all new POS transactions.

Does this affect online or Card Not Present payments?

No. Online (eCommerce) and Card Not Present (CNP) transactions continue to use the fixed platform limit of $20,000.

Who can change the transaction limit?

Only Practice Owners and users with the Can Edit Payment Service Configurations permission can update the POS transaction limit.
