Appointment Event Links in Appointment Reminders

You can now make it easier for patients to add their appointments to their personal calendars directly from your automated messages! By inserting the Appointment Event Links placeholder into your appointment reminder campaign messages, patients will have the option to sync their appointment to their Google Calendar or download an invitation file.


What Are Appointment Event Links?

The Appointment Event Links placeholder automatically generates calendar event links customized for each patient's scheduled appointment. These links include:

  • “Add to Google Calendar” – Appears in email templates, allowing patients to add the appointment directly to their Google Calendar with one click.

  • “Download Invitation File” (.ics) – Included in both emails and SMS, allowing patients to download and open the appointment in their default calendar app (e.g., Outlook, Apple Calendar, etc.).

Example in Email:

The email version of your reminder will include a section like this:

📅 Add to Google Calendar
📥 Download invitation file

This allows the patient to sync their appointment seamlessly.

Example in SMS:

If added to an SMS reminder, the patient will receive a link to download the calendar invitation file, which they can open and save to their mobile calendar app.


How to Add Appointment Event Links

To include Appointment Event Links in any Appointment Reminder message:

  • Click the 👤 person icon at the top right of your Practice by Numbers portal.

  • Select Campaigns from the dropdown.

  • Choose the Appointment Reminders Campaign you want to modify.

  • Click into any of the messages you want to update (Email or SMS).

  • Place your cursor where you'd like the calendar link to appear.

  • Click the “Insert Placeholder” dropdown.

  • Select Appointment Event Links.

  • Save the message.
