Practice by Numbers (PbN) offers two distinct payment processing products, PbN Payments, and PbN ZeroPay, designed to suit your practice's diverse needs. This guide provides an overview of these products, including fee structures, surcharge rules, and compliance, to help you choose the best option for your practice.

Overview of PbN Payments Products

PbN Payments – Affordable Simplicity

PbN Payments is our standard payment processing option, offering relatively lower transaction fees. Under this model, practices absorb all card processing fees, creating a seamless payment experience for patients.

  • Surcharging: Not available. Practices cover all transaction fees.

  • Best For: Practices seeking a straightforward and low-cost payment processing solution without passing fees to patients.

PbN ZeroPay – Flexible Cost Management

PbN ZeroPay allows practices to pass card processing fees to customers in compliance with state and provincial regulations. Practices can configure surcharge rates up to the maximum allowable limit or pass the entire processing fee to customers (where permitted).

  • Surcharging: Available, subject to state and card network rules.

  • Best For: Practices that want to offset processing fees by passing eligible costs to patients while staying compliant.to patients.

Surcharge Rules and Compliance (PbN ZeroPay Only)

Practices using PbN ZeroPay must adhere to state, provincial, and card network rules regarding surcharges:

United States Compliance:

  • Surcharges Prohibited In:

    • Connecticut

    • Massachusetts

    • Maine

    • Puerto Rico

    • Oklahoma

    • California

  • State-Specific Maximums:

    • Illinois: 1%

    • Colorado: 2%

    • Montana: 3%

Canada Compliance:

  • Quebec: Surcharges prohibited.

  • Other Provinces: Surcharges permitted up to 2.4%.

Debit Card Exemption:

  • Surcharges cannot be applied to debit card transactions in both the United States and Canada.
