The Opportunities page within the Call AI Dashboard provides valuable insights into incoming calls and their outcomes. Practices can monitor call performance, identify booking trends, and analyze reasons for missed opportunities.

Benefits of the Opportunities Page

  • Track call performance and booking efficiency.

  • Analyze trends by new vs. existing patients.

  • Identify reasons for missed bookings to improve processes.

  • Understand patient demand for specific procedures.

How to Access

  1. Go to the Call AI Dashboard at the bottom bar of the PbN page.

  2. Select the Opportunities page from the left-hand menu.

  3. Review call data and charts for actionable insights.


Key Features of the Opportunities Page

1. Overall Appointment Call Performance

This section gives an overview of call outcomes across the practice:

  • Total Opportunities: Total appointment-related calls identified.

  • Booked: Calls successfully converted into appointments.

  • Not Booked: Calls that did not result in an appointment.

  • Booking Rate: The percentage of calls converted into appointments.

Each metric includes a clickable link (e.g., "View all Calls") to access detailed call information.

2. Call Flow Analysis

The Call Flow Analysis diagram visualizes how incoming calls progress through the practice:

  • Tracks the flow from initial contact to final outcomes.

  • Highlights reasons for missed appointments or successful bookings.

  • Includes paths such as missed calls, patient inquiries, or appointment scheduling.

This visual tool helps identify bottlenecks in the booking process.

3. Detailed Analysis by Patient Type

You can analyze call performance based on:

  • New Patients: First-time callers seeking appointments.

  • Existing Patients: Returning patients booking follow-up appointments.

Switch between these views to compare booking trends and success rates for different patient groups.

4. New Patient Appointment Calls

Under the New Patient tab, track incoming calls specifically for new patient appointments:

  • Total Opportunities: Total calls from potential new patients.

  • Successfully Booked: Calls converted to appointments.

  • Not Booked: Calls that did not result in appointments.

  • Booking Success Rate: The percentage of successful new patient bookings.

Each metric links to detailed call records for further analysis.

5. Charts for Call Insights

The page also includes two charts to analyze missed bookings and patient needs:

  • Not Booked Reasons by Reason:
    Displays reasons why calls didn’t result in appointments, such as:

    • Insurance issues

    • Lack of information

    • Scheduling conflicts

    • Other factors

  • Procedures Mentioned by Reason:
    A pie chart that shows the procedures discussed during calls, such as:

    • Cleanings

    • Exams

    • X-Rays

    • Extractions
