The Word Cloud on the Reputation page in Practice by Numbers helps you identify trends and key topics from all patient reviews. By displaying frequently mentioned words and phrases in a visual format, it provides insights into what your patients value or frequently mention about your practice. This tool is ideal for understanding patient sentiment, identifying areas of success, and spotting potential areas for improvement.

How to Use the Word Cloud:

  1. Accessing the Word Cloud:

    • Navigate to the Reputation page in Practice by Numbers.

    • Locate the Word Cloud section beneath the Review Stats.

  2. Understanding Word Cloud Elements:

    • Word Size: The size of each word represents how often it appears in patient reviews. Larger words indicate topics or phrases mentioned more frequently, signaling high relevance or patient interest.

    • Word Placement: Words are randomly distributed across the cloud, but larger words are more prominent, making it easy to spot the most common themes.

  3. Interpreting Key Topics:

    • Identify what matters most to your patients by reviewing the largest words. These might include words like "aesthetic," "implant," "care," or "staff."

    • Positive words and phrases such as “friendly,” “comfortable,” or “excellent care” can highlight strengths in your practice.

    • Repeated terms around certain services or qualities provide feedback on specific aspects of your practice (e.g., “implant dentistry” or “pleasant experience”).

  4. Taking Action Based on Insights:

    • Reinforce Positive Aspects: If words like "caring," "excellent," or "friendly" are prominent, ensure these strengths are maintained and communicated in your practice's marketing efforts.

    • Identify Areas for Improvement: If any unexpected or negative terms appear, consider addressing these areas to improve patient satisfaction.

    • Understand Patient Preferences: Phrases related to specific treatments or patient experiences can guide how you communicate with patients, both in person and through marketing materials.

Example:

In the example Word Cloud, words such as "aesthetic implant" and "wonderful staff" are among the most prominent. This indicates that patients are especially appreciative of the aesthetics and implant services as well as the quality of care provided by the staff.
